Role Description

In this pivotal role, you'll oversee day-to-day office tasks, offering administrative support, top-notch customer service, and maintaining general office operations. With a keen eye for organization and excellent communication skills, you'll ensure seamless office functionality.


As the primary interface with our firm, you'll embody a welcoming and approachable attitude, fostering positive interactions with a diverse array of individuals, including clients, service providers, and internal staff. Your adeptness at building rapport and effectively engaging with all stakeholders is crucial to the role's success. Moreover, your proactive problem-solving skills and meticulous attention to detail will be invaluable. Your reputation as a dependable and trustworthy professional, committed to delivering work promptly and to the highest standards, will further elevate our standing for exceptional service delivery.


Job Tasks

  • Answering the phone and greeting clients
  • Managing workflow and organization of client documents, including mailings
  • Deposit and cut checks and record receivables and payables in Quickbooks Online
  • Managing client upload platform for receiving and sending secure documents
  • Updating transactions in Quickbooks Online
  • Run payroll
  • Manage PTO schedules of the firm
  • Monitor inventory supplies at the office
  • Be proactive in assisting the internal staff and partners of the firm with day-to-day activities


Qualifications

  • Excellent communication skills
  • Experience in administrative assistance
  • Strong customer service skills
  • Knowledge of office administration best practices
  • Attention to detail and strong organizational skills
  • Ability to multitask and prioritize tasks
  • Experience in Microsoft Office Suite
  • Experience in the accounting or finance industry is a plus
  • Experience in Quickbooks is a plus
  • Must have prior administrative experience


Salary range is dependent on experience.
