Title: Administrative/Executive Assistant - 1st Shift(7am-3pm) - Onsite
Description:
Summary:
The main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.
Job Responsibilities:
Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work and computer related tasks.
Prepare invoices, reports, memos, letters, financial statements, and other documents.
File and retrieve corporate documents, records, and reports.
Open, sort and distribute incoming correspondence, including faxes and emails.
Prepare responses to correspondence containing routing inquiries.
Manage the scheduling of conference rooms in Microsoft outlook; hosting related activities for on-site meetings
Ordering of consumable supplies for facility staff
Coordinate with other facilities and business units for customer tours and meetings
Participate in 6 Sigma projects in order to improve processes and efficiency within the facility
Skills:
Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
Ability to work independently and manage one’s time.
Ability to keep information organized and confidential.
Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
Education/Experience:
High school diploma or GED required.
2-4 years experience required.
Position’s Contributions to Work Group: Integral member of the leadership team that provides critical coordination work and ensure that the facility is represented in the best light possible to both internal and external customers. Provides critical administration work that ensures that the client Production System is effective in the client Facility.
Typical task breakdown: Manages the intake and accommodations for all facility staff visitors. Manages the meeting room resources. Provides administrative functions for the facility staff. Manages data collection and packaging for response to enterprise and divisional requests.
Interaction with team: Available during work hours to receive requests directly from staff.
Work environment: Mages a work space consisting of desk computers, waiting area, and storage of consumable goods.
Education & Experience Required:
Experience in manufacturing is a bonus.
Technical Skills
Computer and application skills. Significant amount of web-based interactions for client systems and support tasks.
Must be proficient in Microsoft excel and office suite of programs.
Soft Skills
People interaction skills and communication abilities. Must be trustworthy to handle important business and people related information.

7a-3p (40 hrs + 2-5 hrs OT possible)
