Job Summary:

We are seeking a highly organized and detail-oriented individual to join our team as a Project Scheduler. The primary responsibility of this role is to facilitate the efficient planning and execution of projects by creating and maintaining comprehensive schedules, coordinating logistics, and ensuring timely completion of tasks. The ideal candidate will possess excellent communication skills, strong analytical abilities, and a proactive approach to problem-solving.


Responsibilities:

  1. Develop and maintain project schedules using project management software/tools.
  2. Coordinate with project managers, team members, and stakeholders to gather project requirements and establish timelines.
  3. Conduct regular meetings with project teams to review schedules, identify dependencies, and adjust timelines as necessary.
  4. Forecast project timelines, resource requirements, and potential risks.
  5. Coordinate logistics for projects including booking accommodations, arranging transportation, and procuring necessary equipment/materials.
  6. Track and manage timesheets for project team members, ensuring accurate recording of hours worked.
  7. Review invoices from vendors and contractors, verifying accuracy and processing payments in a timely manner.
  8. Collaborate with procurement to gather quotations for project-related services, materials, and equipment.
  9. Monitor project progress against established schedules, identifying deviations and recommending corrective actions.
  10. Prepare and distribute regular progress reports to project stakeholders, highlighting milestones achieved and upcoming tasks.
  11. Assist in the development and implementation of project management best practices and process improvements.
  12. Maintain organized documentation of project schedules, resources, and communications.
  13. Asist the Operations department and the Project Management department with administrative duties such as managing timecards, mileage, and Readiness to Serve (RTS) requirements, including drug tests, site access, safety requirements and documentation, and license management.


Requirements:

  1. Proven experience in project scheduling or coordination, preferably in a related industry.
  2. Proficiency in using a computer and multiple software.
  3. Strong analytical skills with the ability to interpret data and make informed decisions.
  4. Excellent communication skills, both written and verbal, with the ability to effectively collaborate with diverse teams.
  5. Detail-oriented with a focus on accuracy and quality of work.
  6. Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  7. Knowledge of procurement processes and experience in vendor management is a plus.
  8. Familiarity with financial principles and budget management.
  9. Proactive approach to problem-solving and a commitment to personal and professional continuous improvement.
  10. Familiarity with Enterprise Resource Planning (ERP) systems is advantageous.
