As an IP Docketing Specialist, you will play a pivotal role in our organization by ensuring the accurate and timely management of legal documents and deadlines. Your attention to detail, organizational skills, and ability to follow strict timelines will be crucial in maintaining the integrity of our legal operations. This candidate must have prior experience in patents and court scheduling.


Responsibilities:

  • Document Management: Receive, review, and organize legal documents including pleadings, motions, discovery requests, and court orders.
  • Deadline Tracking: Monitor and track deadlines for filings, responses, and other legal actions using docketing software or other designated systems.
  • Data Entry: Input and maintain accurate information related to case details, deadlines, and court requirements into the docketing system.
  • Communication: Collaborate with attorneys, paralegals, and other team members to ensure alignment on deadlines and priorities.
  • Research: Conduct legal research to verify deadlines, court rules, and jurisdictional requirements.
  • Quality Assurance: Review documents and data entries for accuracy, completeness, and compliance with internal procedures and external requirements.
  • Reporting: Generate reports and updates on case statuses, deadlines, and upcoming events for distribution to relevant stakeholders.
  • Compliance: Stay informed about changes in court rules, procedures, and legal regulations to ensure compliance with all applicable requirements.
  • Process Improvement: Identify opportunities to streamline processes, enhance efficiency, and optimize the use of technology in docketing operations.
  • Training: Provide training and support to legal staff on docketing procedures, software usage, and best practices.


Qualifications:

  • Bachelor's degree in a related field or equivalent work experience.
  • Prior experience in legal docketing, document management, or paralegal work preferred.
  • Proficiency in using docketing software and Microsoft Office applications.
  • Strong attention to detail and accuracy in data entry and document review.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Clear and effective communication skills, both verbal and written.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
  • Knowledge of legal terminology, court procedures, and jurisdictional requirements.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
