Qualifications

Required:

  • Minimum of 2 years of clerical experience.
  • Proficiency in Microsoft Office Suite.
  • Typing speed of 40 WPM or more.
  • Knowledge of 10-key data entry.
  • Knowledge of company invoicing procedures.

Preferred:

  • High school diploma or GED.
  • Experience in the construction industry (1 year or more).

Responsibilities
  • Oversee invoicing and billing from project start to completion.
  • Handle inbound and outbound phone calls.
  • Oversee project finances related to invoices and coordinate with subcontractors to ensure tasks are completed as per scope.
  • Communicate daily with clients and subcontractors providing excellent customer service.
  • Walk the subcontractors through the billing process of their projects.
  • Knowing the projects we are handling at the time.
  • Communicate effectively and professionally, regularly updating the clients and subcontractors on the status of invoices and billing.
  • Provide all necessary documents to subcontractors.
  • Assist the project manager in tracking project progress while maintaining project schedules and budgets.
  • Review status reports prepared by staff and make changes where needed
  • Processes and documents return as required following established procedures.
  • Perform routine clerical duties such as data entry, document preparation, and resolving discrepancies in invoices.
  • Notify the project manager and bookkeeper of irregularities and reconcile invoice discrepancies.
  • Performs miscellaneous job-related duties as assigned.
