Overview

They are seeking a dynamic and enthusiastic Workplace Experience Specialist to join their Workplace Experience team under the Human Resources umbrella.. The successful candidate will be the face of our office, responsible for managing office operations, organizing office events, and ensuring a welcoming environment for both staff and customers. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving.

  • Manage office operations, including liaising with vendors, handling technical issues, and overseeing facility maintenance.
  • Organize and execute office events, by creating calendar invites, purchasing equipment, and generating excitement among staff.
  • Serve as the primary point of contact for office-related inquiries and requests, both in person and via communication channels such as Slack.
  • Provide building tours for new employees.
  • Assist the Food & Beverage program, including placing and stocking orders as necessary.
  • Foster a positive and inclusive workplace culture by welcoming staff and customers with a great attitude and providing exceptional customer service.
  • Collaborate with the Workplace Experience team to develop and implement strategies for enhancing the workplace environment.
  • Maintain regular office hours (8:00 AM - 5:00 PM) and be present at the front desk to assist staff and visitors.
  • Record and reconcile expenses and maintain records of vendor proof of insurance and contractual documentation in place.


Required Skills & Experience

  • Possess a warm, positive attitude with a willingness to happily speak with people who approach the front desk and a passion for creating enjoyable workplace experiences.
  • 1-3+ years of experience in a fast-paced administrative or customer service based role.
  • Ability to consistently deliver a high level of customer service.
  • Previous experience in office management, event planning, or related fields.
  • Experience working within Google Suite, Slack, Envoy (or similar visitor management software).
  • High-level documentation skills.
  • Possess a warm, positive attitude with a willingness to happily speak with people who approach the front desk – with a goal of leaving these individuals with a positive experience.
  • Strong communication skills across employees at all levels within the organization.
  • Demonstrated ability to handle multiple tasks with little or no supervision.
  • Advanced problem solving skills.
  • Ability to triage and create sensible prioritization in order to continue to be effective.
  • Accurate, organized, punctual and accountable.
  • Comfortable considering light physical work – which is required when setting up small conference rooms for events.
