JOB DESCRIPTION OFFICE MANAGER / RECEPTIONIST

 

The Office Manager and Receptionist will be the welcoming face of our office, responsible for greeting guests, managing incoming calls, and ensuring messages are accurately relayed to the appropriate parties. Beyond reception duties, you will oversee the maintenance of our office environment, including managing the supply closet, coordinating office supply orders, and overseeing the general office cleaning schedule. In addition, the Office Manager will liaise with various service suppliers to ensure that all aspects of office operations run smoothly and efficiently. This position will report directly to the CFO.

 

Primary Job Responsibilities: 



  • Greet clients and visitors with a warm and welcoming demeanor.
  • Field all incoming calls, documenting notes, and directing inquiries to the appropriate team members.
  • Assist in coordinating member and supplier meetings, appointments, and event scheduling, including the planning and executing member annual & regionals meetings.
  • Manage office supply inventory and ensure the office environment is always clean, tidy, well-stocked, and presentable.
  • Maintain and update member and supplier records and appointments efficiently. Provide general administrative support, including data entry, filing, mail/shipping, etc.
  • Attending to the needs of management and other team members, assisting with administrative tasks. Prepare reports, documents, and presentations for management as required.
  • Assist in company-wide initiatives and ad-hoc projects.

 

Qualifications and Skills: 

 

  • Strong Organizational Skills: Ability to manage multiple tasks and priorities effectively, maintaining organization in scheduling, records, and office systems.
  • Excellent Communication Skills: Proficiency in both verbal and written communication to effectively interact with all levels of staff, visitors, and external partners.
  • Professionalism and Interpersonal Skills: Ability to maintain a professional demeanor and a positive attitude, even under pressure. This includes being approachable, courteous, and supportive in all interactions.
  • Attention to Detail: Keen attention to accuracy and detail in all administrative tasks—from handling phone calls to managing files and scheduling.
  • Time Management: The ability to efficiently manage one’s time and the time of others, ensuring that office operations run smoothly and efficiently.

 

Education and Experience Requirements:

 

  • Bachelor’s degree preferred, not required,
  • Minimum of 2 years' experience in receptionist / office support role,
  • Ability to work flexible hours during the work week M-F.
