Position: HR Coordinator / Office Administrator/Legal assistant

We are looking for an experienced Human Resources Coordinator/ Office Administrator to join our team.


We are looking for an experienced legal assistant with at least one year of legal experience at a litigation law firm and with California and Federal courts(required). A minimum of one (1) year experience working in a Human Resources Department is required. Familiarity with Microsoft Outlook and Microsoft Office is a must.


Responsibilities:


• The primary purpose of the Human Resources position is to provide administration of the day-to-day responsibilities of the Human Resources Department and to provide administrative support to the Office Supervisor and managers

• The Human Resources Coordinator / Office Administrator will be responsible for performing various administrative functions including office supplies, coordination of office functions and operations

• Maintains all electronic personnel files in compliance with licensing requirements, labor laws, and other federal or state regulations governing employment records

• Ensure any filing is completed according to set procedures and timeframes

• Assist with processing new hires, including scheduling pre-employment appointments, tracking pre-employment background clearances, and updating status

• Provides support on particular projects such as the preparation of training materials and manuals.

We are looking for two (2) experienced legal assistants with at least two years of legal experience at a litigation law firm and with California and Federal courts. Spanish speaking is preferred. We offer the following:

The successful candidate will assist a partner with scheduling; reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents; maintaining records; keeping track of Excel spreadsheets; taking notes at meetings and any other assistance that the partner needs. This position also requires limited data entry for bookkeeping including entering invoice data from documents, complying with data entry deadlines, sorting data information to prepare for computer entry, reviewing data for errors, and any other data entry tasks as necessary for the bookkeeper.

The successful candidate must have experience with all aspects of litigation and be able to prepare and file and e-file documents in court; create internal files; file, photocopy, scan, fax and mail correspondence; go on FedEx and post-office trips; manage and organize documents; draft correspondence and legal forms; greet clients and other guests; maintain attorneys' general calendars; coordinate messengers and deliveries; schedule meetings; prepare the conference room for meetings; and/or order food and drinks; assist attorneys and other team members with trial preparations; and other clerical duties as necessary, and any other data entry tasks as necessary for the bookkeeper
