General Responsibilities: 
Provide support to program regarding maintenance of block scheduling across family center location(s), initial assessment scheduling, treatment scheduling, re-scheduling canceled appointments, follow up on outstanding documentation ready for signature, and general operational support. 

Essential Functions and Responsibilities:
  • Follow all policies and procedures set forth by the company
  • Maintain block scheduling across location(s)
  • Communicate with prospective and current clients regarding service(s)
  • Maintain organized spreadsheet(s) and work with BCBA/families to obtain updated documents
  • Communicate at least weekly with program administrator(s)
  • Schedule and adjust initial assessments and service delivery appointments
  • Re-schedule canceled appointments and follow up on weekend service(s)
  • Fix billing errors by staff, prior to conversion
  • Establish and maintain positive relationships with individuals, families, guardians, community stakeholders
  • Collect client documents (e.g., consents, treatment plans, evaluations, etc.)
  • Records work in accordance with company policies
  • Participate in short- and long-term planning process to ensure continued quality and financial success
  • Report any suspected abuse, neglect or exploitation immediately to supervisor or department head
  • Comply with all standards to assure the health and safety of all individuals
  • Reports to work as scheduled
  • Other duties as assigned
Minimum Qualifications:
  • High school diploma required; associate or bachelor's degree preferred
  • (Medical billing, medical authorizations, communication, behavior, or related field preferred)
  • Experience effectively managing an outpatient behavioral health or medical practice
  • Strong customer service skills to both internal and external customers
  • Hold a valid driver’s license
  • Maintain auto insurance
  • Travel up to 25%

Required Knowledge:
  • Knowledge of Scheduling
  • Knowledge of health care privacy and confidentiality rules
  • Knowledge of standard health care business practices
  • Knowledge of person-centered care and support for individuals with intellectual/developmental disabilities
  • Knowledge of best practices in the field of intellectual/developmental disabilities
Required Skills:
  • Ability and skill to use technology tools in the daily performance of duties
  • Must possess & demonstrate critical thinking skills
  • Skillful in use of electronic medical records systems, computers & general office equipment
  • Skillful in working with people from diverse educational and cultural backgrounds
  • Skillful in interpersonal communication needed to advocate for individuals, communicate with family members, healthcare professionals, support coordinators and others
Required Ability: 
  • Ability to maintain allocated budget
  • Ability to facilitate a positive atmosphere promoting holistic health, wellness, and team cooperation
