L. Nelson Properties, is a Dynamic Real Estate Investment Company managing over 300 residential multifamily units in the Bay Area. We are seeking a self-motivated professional with exceptional organizational and time management skills to join our team and support the expansion of our multi-family property portfolio. This position will help manage the office day to day as well as coordinating and ensuring all property maintenance items are scheduled and executed on-time and in the proper manner.

 

Who You Are

We are looking for a professional, take-charge office manager to keep business operations organized, managed, on track, and moving forward. Candidates must possess strong communication skills, both written and oral, the ability to multi-task efficiently in a fast-paced environment, and the ability to work independently with initiative, discretion, and confidentiality. You will ensure that the office’s productivity is enhanced by managing calendars and schedules. The Office Manager will be responsible for overseeing and coordinating project activities, managing project schedules and budgets, and ensuring project deliverables are met. The Office Manager will also provide administrative support, maintain project documentation, and monitor project progress. This role will require a high level of dedication, adaptability, and a proactive approach to problem-solving.


Responsibilities

·      Provide administrative support to office staff in a variety of departments such as maintenance, accounting, and

leasing

·      Coordinate and ensure timely execution of all property maintenance tasks

·      Schedule and oversee maintenance activities to maintain property standards

·      Collaborate with property management team to address tenant concerns promptly

·      Maintain accurate records of maintenance schedules and expenses

·      Liaise with contractors and vendors to obtain competitive quotes and quality service

·      Implement cost-effective strategies to optimize property maintenance processes

·      Assist in administrative tasks and support property management operations as needed

·      Extensive calendar, meeting, and project management to coordinate internal and external meetings/events

·      Assist with food orders, meeting needs, agenda support, and note-taking

·      Proactively manage calendar requests and conflicts

·      Apply discipline and rigor around meetings and ensuring agendas, and clarifying context and purpose with senior leaders you support as well as participants

  • ·      Handle all travel (flight, hotel, car) arrangements for domestic and international travel


Qualifications

·      Bachelor's degree in Business Administration or related field

·      5 + years’ experience in providing administrative assistance and office administration

·      Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously

·      Ability to multitask and prioritize tasks

·      Attention to detail and strong organizational skills

·      Problem-solving and decision-making abilities

·      Strong communication and interpersonal skills

·      Familiarity with office equipment and project management tools such as Microsoft Office Suite platforms, including Microsoft Outlook, PowerPoint, Word, and Excel

·      Excellent customer service skills

·      Experience in residential real estate is a plus

·      Proven experience in project management or office administration

·      Excellent leadership and communication skills

·     Ability to maintain a positive attitude in high stress situations.

·     This person must have a "no job is too big or too small" attitude and truly understand that the team is the glue that holds everything together and is critical to a successful company

Pay Range: $75,000 to $90,000 a year, depending on experience.
