This is an ongoing contract position.


We/Hirewell, in partnership with our client, are seeking a dynamic and proactive Office Workplace Assistant to join the team on a part-time basis. The ideal candidate is hands-on, adept at working with vendors, and proficient in navigating our systems. This role requires on-site presence on Tuesdays and Thursdays to facilitate seamless operations. Collaborating closely with Executive Assistants (EAs) and IT personnel, the Administrative Coordinator will oversee various tasks including ordering lunches, coordinating pick-ups/drop-offs, managing mail, and more.


Responsibilities:

  • Coordinate with vendors and internal systems effectively.
  • Work closely with EAs and IT to ensure streamlined operations.
  • Manage logistical details such as ordering lunches, coordinating pick-ups/drop-offs, handling mail, etc.
  • Oversee external events including summer and winter parties, catering, and coordination.
  • Demonstrate a service-based work ethic, with previous experience in hospitality considered a plus.
  • Exhibit exceptional communication and collaboration skills.
  • Ability to work autonomously and take initiative.
  • Possess outstanding organizational skills to manage multiple tasks efficiently.
  • Utilize critical thinking to problem-solve effectively.
  • Capable of prioritizing tasks based on importance and urgency.
  • Flexibility to adapt to changing priorities and needs.


Requirements:

  • Proven experience in administrative or coordination roles.
  • Strong communication and collaboration skills.
  • Excellent organizational abilities with keen attention to detail.
  • Demonstrated ability to work independently and in a team setting.
  • Flexible schedule to accommodate on-site presence on designated days.
