We are a leading property management company dedicated to providing exceptional service to our clients and communities. Currently, we are seeking a highly motivated Transition Coordinator.


Transition Coordinator – South


Executive Summary:

The Transition Coordinator - South is accountable for supporting the onboarding of new properties and the acquisition of new business. This dual role will support both the Transition and Sales teams, and they will consequently take direction from both the Director of Sales and Transitions and the EVP of Sales and Retention. They will also primarily support Condominium Associates’ sister companies: Precedent Hospitality in Ft. Myers and Moore Property Management in Naples.


General Responsibilities and Duties:

Transition Tasks

·       Input owner names, phone numbers, and data into CINC Accounting for new clients

·       Establish directories in Cinc WebAxis for Homeowners and Tenants

·       Create document folders in Cinc WebAxis

·       Upload records onto SharePoint and Cinc WebAxis for new accounts

·       Set up board members and committees in Cinc WebAxis for new Associations

·       Broadcast welcome messages for new accounts on Cinc WebAxis

·       Upload current insurance documents into Cinc WebAxis, Homewise, and SharePoint

·       Upload governing documents, FAQ sheets, insurance, and other documents into Homewise

·       Add new association Federal ID numbers to Cinc Accounting

·       Upload association’s W9 forms into SharePoint and Homewise

·       Notify banks of mailing address changes for new accounts

·       Change mailing addresses for recurring vendors including utilities

·       Inventory Association Records, scan and upload to SharePoint and association website

·       Arrange for archived boxes of new accounts to be sent to storage


Sales Tasks

·       Support logistics of external events such as trade shows, conferences, board certifications, and trainings (including travel, giveaways, shipping, registrations, etc.)

·       Attend Launch Meetings

·       Assist with client site visits as requested

·       Support sales team in sales and marketing systems such as HubSpot 

·       Collaborate with Sales/marketing Coordinator to

o  Administer webinars and other virtual events

o  Create, send, and monitor outbound email campaigns

o  Create and manage marketing assets

o  Update prospecting databases


Qualifications:

·       Excellent written and verbal communication skills

·       Ability to compose professional internal and external emails

·       Proficient multitasking and priority management

·       Strong task and time management skills

·       Initiative and self-management abilities

·       Critical thinking skills and the ability to make independent decisions based on sound judgment

·       Proficiency in Microsoft Office Applications, particularly Excel

·       Utilizing formulas across multiple worksheets

·       Analyzing large datasets using Pivot Tables

·       Creating visual representations of data using graphs

Schedule:

·       This position will primarily operate in an office setting and occasionally in the field as required
