Position Summary

Provide high level support to the Vice President for Diversity Affairs and Multicultural and International Student Programs and the Associate Dean for Faculty Development and Director, The Ernest L. Boyer Center and their respective teams, including maintaining systems to advance productivity, managing calendars (including scheduling and prioritization of appointments), managing departmental e-mail accounts, greeting visitors, answering phone and e-mail queries, and addressing routine questions. Education Required Associate’s Degree or equivalent experience. Education Preferred Bachelor’s degree. Experience Required 2-3 years of administrative support/project management, and budget experience. Experience Preferred 1 or more years assisting in higher education administration. Skills, Characteristics Required for Position • Excellent organizational and time management skills, including demonstrated commitment to accuracy and rigorous attention to detail• Professional-level verbal and written communication skills, including ability to communicate effectively with internal and external constituencies• Ability to effectively manage projects, including a strong capacity to prioritize responsibilities, advance multiple projects concurrently and independently, and manage deadlines• Demonstrated skill in creating and editing documents, spreadsheets, presentations, and reports.• Ability to develop and manage budgets• Strong technological proficiency, including the ability to use Microsoft Office software (Word, Excel, PowerPoint, Teams), Qualtrics, web design and learning management systems• Excellent ability to build relationships of trust within and across departments, including a demonstrated commitment to engage a diverse community• Ability to handle highly confidential information with discretion• Ability to effectively supervise student employees Special Working Conditions The hours for this position may vary outside standard business hours and may require occasional flexibility from the usual schedule. Provide high level support to the Vice President for Diversity Affairs and the Associate Dean for Faculty Development and their respective teams, including maintaining systems to advance productivity, managing calendars (including scheduling and prioritization of appointments), managing departmental e-mail accounts, greeting visitors, answering phone and e-mail queries, and addressing routine questions.2. Gather data and manage information for departmental annual reports (such as all documentation associated with the diversity strategic planning process.)3. Coordinate meeting arrangements, including scheduling, generating agendas and minutes, and managing follow up on action items for department and committee meetings (such as the Scholarship and Development Committee).4.Manage event and program planning, including advertisements, space reservations, hospitality, catering, guest travel/lodging, and honoraria processing. This includes managing Office of Faculty Development programming such asrovost’s Seminar, New Educator Orientation, Christian Scholarship Colloquies, and as well as Office of Diversity Affairs programming such as the Multicultural Student Welcome, Inclusive Excellence Ambassadors, and other special events.5. Provide editorial and organizational support for complex projects, including program evaluation and assessment as well as external funding applications and reports. This includes collaboration and communication sufficient to manage projects with internal and external contributors.6. Coordinate and disseminate publications, including newsletters, brochures, and program advertisements.7. Coordinate tasks related to evaluation of faculty performance, including distribution of the Professional Development and Performance Reports (PDPR) and administration of student course evaluations (via Anthology system).8. Maintain a well-organized and accessible filing system, including digital and paper files. This includes Development files for all faculty members as well as applications and written assessments for Internal Grants and Sabbaticals.9. Coordinate travel arrangements, including developing itineraries for individuals and university teams as well as anticipating and organizing necessary materials.10. Edit and refine websites for all programs supported and implement revisions in communication with necessary university departments and individuals. This includes ongoing refinement of web content/presentation for accuracy and timeliness of information.11. Develop well-designed presentations using notes provided by department leaders.12. Coordinate budget activities, including reconciling accounts, managing records, processing purchasing card activity; processing reimbursements and expenditure approval, and assisting budget managers in preparing and presenting budget information.13. Hire and oversee student employees and assign tasks in an efficient and effective manner, including coordinating schedules to ensure comprehensive administrative support during the business day. This also includes support with hiring and payroll for Smith Scholar and Teaching Interns.14. Assist with distribution of professional resources for faculty members, including Christian Scholar’s Review, periodicals, and online resources.15. Maintain consistent and reliable schedule and attendance.
