Preferred Qualifications Position Summary This position resides in the Center for Vaccines and Immunology, provides direct administrative support to the Center Director, Faculty, Business Manager, and HR Specialist and assists Center staff and students with clerical and administrative functions. Working with the Business Manager, this individual will help manage Center and Faculty finances, Center personnel, and serve as a central resource for Center communication. Duties/Responsibilities Duties/Responsibilities Provides direct support to the Center for Vaccines and Immunology (CVI) Director, Faculty, and Business Manager, and assists all staff and students with clerical and administrative functions. Other responsibilities include but are not limited to reviewing and maintaining accounting records, maintaining diverse mail and email address lists for correspondence, managing Center online resources, organizing and minuting CVI meetings, and, in conjunction with Human Resources, onboarding new CVI personnel. With support from College and University Communications, the individual will maintain the Center’s online and social media presence. Responsible for answering telephone calls, greeting visitors, and responding to requests for assistance. Assist with and process travel authorizations and reimbursement requests for CVI personnel, monitor and order laboratory and office supplies, and prepare electronic purchase/check requests. Receive deliveries, distribute mail, and assist with shipping. Responsible for preparing materials for CVI lab meetings, seminars, workshops, and conferences. Prepare and manage travel, accommodation, and schedules for visitors, and perform administrative duties associated with future CVI recruiting, training programs, workshops, and seminar series. Liaise with the Center for Influenza Disease Emergence and Research (CIDER) Coordinator to support CIDER activities associated with the CVI. Percentage of time Duties/Responsibilities Provide direct administrative support for the CVI Director. Duties include managing their calendar, answering their telephone calls and written communication, prioritizing the Director’s activities, and preparing draft communications.
