Role purpose

Purpose

  • Support the business’ new sales and customer retention strategy through the development and delivery of the bid management process and provision of relevant documentation in response to both formal tender processes and ad-hoc sales requirements.
  • Maintain an effective bid library that is fresh, relevant, compelling and up to date so as to optimise business time expended on bid responses and optimises success of submissions.
  • Encompassing all potential bid opportunities across all travel, meeting & event categories
  • Including pre-qualification and supplier procurement questionnaires.


Responsibilities

Bid process management

  • Coordinate the bid management process for specific tender and re-tender opportunities alongside the nominated Bid Owner.
  • Proactively educate various internal bid stakeholder audiences regarding the bid management & governance processes as necessary.
  • Coordinate the production of a Bid Summary overview within agreed guidelines alongside the Bid Owner for distribution to relevant bid stakeholders.
  • Coordinate the scheduling of a Bid Kick-Off Call or Meeting ensuring that all relevant internal stakeholders and subject matter experts are involved.
  • Chair the Bid Kick-Off Call or Meeting alongside the Bid Owner.
  • Produce or complete relevant bid submission and/or proposal documentation in line with corporate brand guidelines and/or customer-defined submission formats ensuring that submission deadlines for all elements of the procurement process are achieved.
  • Support the bid presentation development process alongside the Bid Owner ensuring that key customer objectives, deliverables and messages are aligned with the customer’s statement of requirements and the proposition detailed within the bid submission.
  • Support the Head of Bid Management in the ongoing development of the bid management process ensuring alignment with internal requirements and bid policy expectations.

Bid intelligence / content management

  • Support the ongoing update of the bid library / content management system through effective management of relevant bid content contributors, editors, approvers and subject matter experts.
  • Proactively network and develop excellent working relationships with key personnel that support the bid process – including, but not limited to, senior management, bid owners, work stream leads, proposition/product owners, subject matter experts and content contributors.
  • Research, write and edit appropriate bid content and responses in line with requirements.

Administration

  • Monitor internal database resources and external bid opportunity sources (not limited to OJEU, trade publications and sector specific databases) to identify potential tender opportunities.
  • Support the maintenance of relevant information within CRM systems relating to ongoing bid processes to ensure accurate and up-to-date reporting.
  • Support the business’ requirement to complete supplier questionnaires or databases as required.

Reporting & communication

  • Support awareness of Bid Management across the business through all available communication channels
  • Deliver regular reports as agreed with the Head of Bid Management and Director of Business Development.
  • Deliver ad-hoc reporting where required to support upward reporting to the Executive Board and Group.
  • Attend internal and external meeting and training as required.

Information security

  • Ensure completion of annual on-line mandatory training on data protection, information security and financial crime. Develop understanding of cyber risk and threat by reading and engaging in communications and awareness training from the business.
  • Responsible for understanding and upholding the information security policies


Job Requirements for Bid Manager Role at Clarity Travel


  • 2 years of experience in bid management or a related field
  • Demonstrated ability to lead and coordinate bid processes
  • Strong project management skills with a focus on meeting deadlines
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and bid management software
  • Ability to work collaboratively with cross-functional teams
  • Detail-oriented with strong analytical and problem-solving abilities
  • Experience in the travel industry is a plus
