The Massachusetts Department of Public Health (DPH) Bureau of Health Care Safety and Quality, Division of Health Care Facilities Licensure and Certification (DHCFLC) is seeking a coordinator to provide support and programmatic needs Division-wide for the DHCFLC team, including the DHCFLC Director, Deputy Director. The Coordinator serves as a liaison and collaborates with internal DPH groups and CMS partners working closely with DHCFLC, including support with public records/FOIA requests.The Program Coordinator also collaborates internally with DHCFLC employees on DHCFLC-wide projects, including, but not limited to, supporting the establishment of an operational infrastructure, and project coordination for key strategic initiatives.

Duties and Responsibilities (these duties are a general summary and not all inclusive):

Provides programmatic coordination and monitoring of several key strategic initiatives DHCFLC wide which include, but are not limited to, maintaining DHCFLC dashboard, SPIRIT/SPSS support, building upon our expanding operational infrastructure, and other programs/events/activities as directed. Coordinates daily operations for the DHCFLC, including in person and virtual meeting logistics (scheduling and calendar maintenance) and materials preparation; Office communications and supporting the DHCFLC Director and Deputy Director in general administrative duties. Assists Division managers and supervisors in the hiring of new staff through preparation of materials for posting, scheduling of interviews, and hiring packets. Assists Division managers and supervisors in the in-processing and training of new staff, and the out-processing of staff leaving the Division. Ensures the functionality of digital office tool accounts (i.e. Adobe Pro, WebEx, SharePoint, etc.); provides technical assistance to new employees with their digital office tool accounts and troubleshoots relevant concerns when needed. Develops, updates, and maintains contact information database of DHCFLC staff and coordinates DHCFLC distribution e-mail lists with the Bureau of Health Care Safety and Quality (Bureau) distribution e-mail lists. Researches and compiles information for management use from a variety of sources and disseminates this information in the form of reports, manuals, presentations, charts, graphs, tables, etc. Prepares reports, correspondence, memoranda, etc related to program activities and reviews for completeness, accuracy, and content. Serves as a liaison between DHCFLC and DPH IT with regards to device distribution and functionality including coordination of onsite support and troubleshooting. Organizes DHCFLC digital and paper documents and recommends ongoing improvements to ensure efficiency and seamless project coordination to support DHCFLC.

Required Qualifications:

Knowledge of software applications such as database management, desktop publishing, project management and worksheets. Ability to communicate effectively. Capacity to write concisely, express thoughts clearly and develop ideas in a logical sequence. Ability to prepare and use general reports, charts, graphs, and tables

Preferred Qualifications :

5+ years of professional experience working in an office environment providing support and program administration. Extensive experience with computers and digital office tools. Excellent critical thinking and problem-solving skills with the capacity to demonstrate strong interpersonal, teamwork, communication, and organizational skills.

Location: Position is based in the Department’s Marlborough office located at 67 Forest Street and is eligible for hybrid telework.
