Job Title: Executive Secretary, Transportation Payroll

General Summary
Under general supervision creates time logs for all transportation employees, maintains records of work schedules, and leave and supports transportation division leaders as needed.

Essential Functions Supports and upholds the mission, vision and strategic goals of Lexington County School District One. Effectively interacts, communicates and collaborates with all stakeholders. Establishes a safe, supportive, positive and productive working environment.  Annually creates a time log with proper payroll dates for the new school year. Distributes “set time” sheets to full-time employees at the beginning of each school year; collects the information and fills out a “tack sheet” to be signed by both the full-time employee and his/her supervisor to establish the set time for the employee’s assigned routes. Creates time logs for each full-time employee; logs include name, social security number, years of experience, correct rate of pay, number of checks and the time “in minutes” for A.M., P.M., shuttles, mid-days or other established times. Creates a time log for substitute employees; time for substitutes is recorded daily in the “Add Time” column on the pay log. Keys information from daily log sheets on the individual employees’ time logs. Creates a new “leave calendar” each month listing all full-time employees. Collects leave sheets, records information on the leave calendar and gives information to the assigned person in charge of entering leave into the district management system. Creates additional time logs for employees driving after school routes. Cross references time logs with the regular route time log to establish any overtime. Participates in all professional meetings as required. Selects, requests, and maintains an inventory of general equipment, materials and supplies necessary for daily operations; provides for safe storage and proper use of all materials, equipment and supplies. Effectively uses technology tools as needed to conduct daily activities. Performs other related duties as required.
Minimum Education/Work Experience High school graduate or equivalent with training in secretarial science or office management Minimum of six months secretarial/clerical experience; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities
Knowledge/Skills
Knowledge of the policies, procedures, and activities of the school district which pertain to the specific duties and responsibilities of the position. Knowledge of school policies, procedures, and operations. Ability to demonstrate proper maintenance, safe operation, and utilization of equipment, materials, and supplies used in daily activities. Ability to maintain high standards of accuracy in exercising duties. Ability to anticipate work to be completed and to complete work without the need for direct supervision. Ability to maintain confidentiality of employee and student records and information. Ability to interact and communicate in an effective and professional manner with supervisors, co-workers, teachers, students, and the general public.

Working Conditions
Conducts duties in an office environment with no significant exposure to environmental conditions. Requires ability to maintain constant attention and meet tight deadlines. Physical demands are restricted to work requiring occasional lifting/moving of items up to twenty-five pounds. Occasional travel is required; no overnight travel required.

Responsibility
No budgetary or supervisory responsibility.

Evaluation
Performance of this job will be evaluated annually in accordance with the provisions of the School Board’s policy on Evaluation of Support Personnel.
