Summary

The role of Travel Coordinator is an internal-facing role requiring a customer service focus and exceptional organization and follow-through skills. The role supports the Company’s traveling personnel by providing administrative and support services in accordance with the Company’s Travel and Subsistence Policy. The role also serves as backup and support to the other Office Operations team members.

Essential Duties and Responsibilities include the following; however, other duties may be assigned. Estimating / Preconstruction Support:

Researches, identifies, and presents housing options and associated costs within specified geographical areas. Researches, identifies, and presents cost of living comparisons for specified geographical areas. Researches and presents travel options and associated costs for traveling into specified geographical areas. Prepares recommendations for Market Leaders and Estimating Team Leaders for the appropriate travel and relocation costs to be included in project estimates.

Operations Support:

Assembles information on housing options that meet the criteria of the Travel and Subsistence Policy and the project’s budget. Identifies local resources and service providers for property maintenance and home services. Coordinates and plans team-building events with remote project teams. Coordinates travel accommodations for traveling team member’s family, partners, etc. in accordance the Alberici Travel Policy. Utilizes Concur and the Corporate Travel Management (CTM) services provider to assist team members who encounter extenuating circumstances during work-related travel. Tracks traveling team members assignments for accurate application of the Travel Policy. Reviews monthly accounting travel reports to look for trends in location frequency for the purpose of negotiating preferred pricing with providers. Ensures client satisfaction, both internally and externally, through positive, pleasant, professional, and efficient handling of issues. Exercises good interpersonal skills by assisting others to accomplish work of the organization, even if it is outside the scope of regular duties. Processes invoices using Workflow. Monitors travel policy compliance through reporting analysis. Maintains relationships and negotiates agreements with vendors. Serves as primary support for Corporate Concierge position. Assists with daily office operations support functions. Facilitates operational logistics such as organization of meetings, conference rooms, conference calls, etc.

Additional Duties and Responsibilities

Models and reinforces safety as a top priority of the organization. Always wears a hard helmet and other appropriate Personal Protective Equipment (PPE) in the field. Meets schedules and deadlines, adheres to policies and procedures, and maintains a good attendance/tardiness record. Exercises good interpersonal skills by gladly assisting others to accomplish work of the organization, even if it is outside the scope of regular duties. Performs other duties as assigned by the Supervisor. Travel to Company and subsidiary offices; offsite client, subcontractor, and supplier meetings; and other locations across North America to fulfill the essential duties of the role as required. Regular and reliable attendance in person as required by your Supervisor, Company guidelines, and/or project and office obligations.

Knowledge, Skills, and Abilities

Reads and interprets documents such as safety rules, operating and maintenance instruction and procedure manuals. Creates reports, business correspondence, and procedure manuals. Effectively presents information and responds to questions from managers, employees, clients, and the general public. Solves practical problems and deals with a variety of concrete variables in situations where only limited standardization exists. Interprets a variety of instructions furnished in written, oral, diagram, or schedule form. Organizes and manages time, duties, and activities efficiently.

Education and Experience

Bachelor's degree AND two to four years related experience and/or training OR equivalent combination of education and experience. Extensive experience with Outlook and Microsoft Office including Word, Excel, and PowerPoint. Professional demeanor, communication, and people skills commensurate within a business environment, and maintains a high-level of confidentiality. Able to respond promptly, thoroughly, and accurately to inquiries and manage multiple tasks at once. Exceptional grammar and spelling skills required.
