Administrative Business Partner III

1 Month Contract
Overview:
We're looking for an Executive Assistant Business Partner (EABP) for our VP of Investor Relations & Treasury, VP of Corporate Development and VP of Internal Audit. You’ll work with them to keep their team organized and running smoothly. You’ll manage busy schedules and maintain great relationships internally and externally, and you’ll need to be an amazing communicator who’s passionate about details.
What you'll do:
- Ability to manage complex calendaring with minimal direction; prioritize meeting cadences and requests, and make calendaring decisions based on business needs
- Manage executive/senior leader event coordination; research and select venue location; draft and distribute event content/communications; plan logistics for all event services; and oversee event budget
- Manage executive/senior leader led org/team meetings, draft and communicate agenda, capture meeting notes and action items and work with executive/senior leader on assigning each action item
- Coordinate executive/senior leader orgs company-wide strategic projects and initiatives that align with business operations; attend meetings and track project progress and action items, and create draft presentations with appropriate content
- Serve as positive representation on behalf of executive, both internally and externally
- Support executive/senior leader with org changes in partnership with HRBP: create org charts, update org aliases and Slack channels, and manage communications rollouts
- Process and reconcile expense reports for the executives/senior leader and work with accounting to address any discrepancies
- Coordinate executive/senior leader travel coordination, hotel accommodations and transportation; coordinate travel for the executive/senior leadership’s team and process VISAs and assist with Passport renewals, when needed
- Maintain and track executive/senior leader’s employee recognition reward and morale budget
- Work closely with Global Events Manager to facilitate executive large US/International virtual events (e.g.: all hands, webinars, conferences)
- Provide backup support coverage for executive when needed
- Act as an onboarding “Buddy” and assist in new hire training
- Ability to attend on/off site team morale, all hands, etc. events
What we're looking for:
- 3+ years supporting executives with several years supporting VP and Director levels
- Proficient in MAC, Workday, Expensify, Google Suite and MS Office Suite
- Solid track record of handling confidential information with integrity
- Self-starter able to take on and own projects to completion with minimal direction
- Team player willing to jump in and help where and when needed
- Excellent organization skills, acute attention to detail, ability to handle multiple tasks in a fast-paced and time-sensitive environment
