Primary Function of Position

As the Volunteer Coordinator, you will oversee all aspects of the volunteer program at our Basic Needs - Ogden location, including recruitment and retention, application and paperwork compliance, placement, recognition, and overall supervision. You will also collaborate with the warehouse to coordinate and recruit volunteer groups for food drives.


Major Position Responsibilities

  1. Volunteer Placement: Recruit, interview, and place volunteers in program service.
  2. Application Maintenance: Ensure volunteer applications and files are maintained according to company policy.
  3. Training: Conduct regular safety training with volunteers and any other training needed.
  4. Data Entry: Maintain data entry and records for volunteers.
  5. Compliance: Ensure compliance with agency standards, policies, and procedures for the volunteer program.
  6. Handbook Maintenance: Maintain current volunteer handbook, including all volunteer application forms, policies, and procedures.
  7. Event Coordination: Coordinate volunteers for food drives and other large agency events.
  8. Outreach Events: Attend community volunteer outreach events.
  9. Main Contact: Serve as the main contact for WSU CCEL and Student Engaged Leader.
  10. Orientations: Conduct volunteer orientations.
  11. Acknowledgment: Provide thank you letters to volunteer groups and donation drives.
  12. Volunteer Placement: In conjunction with the Warehouse Manager, greet and place daily volunteers in both the pantry and warehouse to ensure a meaningful opportunity, and assist the Warehouse Manager with group volunteer activities.
  13. Staffing Coordination: Maintain staffing schedule for regular volunteers for all program areas, including client intake, check-in, and receptionist. Work with warehouse manager on producing volunteer assignments or needs in the warehouse.
  14. Engagement: Work with and engage volunteers while onsite in pantry and warehouse.
  15. Other duties as assigned.

Work Environment

  1. This position is in a professional office environment using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
  2. This role also includes outside work in various weather conditions.
  3. Some local travel may be required.

Physical Demands

  1. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand, as necessary.
  2. This role includes driving locally.

  2. Social Service Knowledge: Knowledge of social service principles and ethics.

  6. Program Accountability: Ability to develop, coordinate, and maintain program accountability.
  7. Supervision: Ability to supervise volunteers.
  8. Confidentiality: Must be able to maintain confidentiality.
  9. Personal Qualities: Personal qualities of openness and respect for co-workers and clients, compassion, and graciousness in helping clients to assess and face their situations and to accept assistance.

Education, Training, and Experience

  1. Education: Bachelor's degree or equivalent experience.
  2. Language: Spanish speaking preferred.
  3. Volunteer Coordination: Experience coordinating and managing volunteers.
  4. Software Proficiency: Experience in computer software including MS Word, Excel, and the internet.

Background Screening Requirement

  1. Must pass a national BCI/FBI background check.

Licenses, certifications, and credentials

  1. Current Utah driver's license, proof of auto insurance with minimum policy liability limits of $50,000 per person and $100,000 per incident, 21 years of age or older, a clean driving record, and ability to meet CCS vehicle safety requirements.

Position status and expected schedule

  1. This position is scheduled to work 30 hours per week from Monday through Friday between the hours of 7:00 am to 1:00 pm.
