Assertive Community Based Treatment (ACT)

Assertive Community Based Treatment (ACT) is an interdisciplinary team that ensures a recovery-oriented system of care, with full range of treatment functions, 24 hours a day, 7 days a week. The program employs master's and bachelor level counselors, a registered nurse, a substance abuse specialist, a vocational specialist, a psychiatrist/APN, a peer specialist, a program assistant and a program team leader. Team members work together with clients to promote symptom stability and appropriate use of medication to restore personal lives, community living, and social skills; promote and maintain physical health; establish access to entitlements; housing, work, and social opportunities. The goal is to promote and maintain the highest possible level of functioning in the community.

JOB SUMMARY:

The Program Assistant provides administrative, logistical, and hands on support for program administrative operations and special initiatives. The role provides administrative support including but not limited to: clerical support, including answering phones, typing, proofreading, filing, copying, organizing, and distributing mail. Assist with all client related processes regarding funds and expenses. Serve as liaison between consumers and staff, such as attending to the needs of office walk-ins and calls from consumers/natural support. Maintain prescriber schedule on electronic scheduling system. Track psychiatric evaluations and ensure clients are scheduled appropriately with prescriber for timely completion of evaluations annually. Attend scheduled staff and other administrative meetings as scheduled. Maintain confidentiality and adhere to HIPAA. 

ESSENTIAL JOB FUNCTIONS:

Assist with office administrative flow and financial assistance to the success operations for the agency Answer phones and be the Direct of First Impressions for the office Shop for office supplies and assist with agency events Type correspondence, reports, forms, and other documentation.  Process and distribute mail and facsimiles. Maintain and update filing system for administrative roles  Support and organize Team leader in maintenance of all consumer finances Answer telephone and take messages. Maintain personnel files in accordance with policy Assist team leader/program director in tracking staff training Track and disperse incoming checks from representative payee Other duties, as assigned

KNOWLEDGE, SKILLS & ABILITIES

Knowledge of Company policies and procedures. Knowledge of standard office procedures. Knowledge of alphabetical and numerical filing systems. Knowledge of grammar and composition. Skill in using standard office equipment, such as typewriter, telephone, copier and FAX machine. Skill in using various software packages. Skill in maintaining organized files and accurate records. Ability to read documents and computer screens. Ability to write and maintain accurate records. Ability to communicate effectively in a courteous and professional manner. Ability to use a personal computer. Light lifting, often sedentary, exposure to loud noise at times Ability to work in a team environment.

Qualifications

2-3 years of administrative assistant or front office coordination experience. High school diploma or equivalent required. College degree preferred coursework in general office practices and basic accounting practices. Two-Three years' experience working in a nonprofit in the field of accounting, bookkeeping and office management.
