Answer a multi line switchboard and greet visitors. Maintain the mailroom. Assisting sales department in administrative tasks.

Duties and responsibilities:

Answer incoming phone calls. Greet and direct visitors. Accept and distribute mail. Locate personnel for internal purposes as well as external customers/visitors. Receive in bound work orders, assign work order numbers, and put orders into Mapics system. Print out work orders and deliver to appropriate departments. Maintain supplies for mailroom and copier. Administers in and outgoing office package services and mail. Assist employees and guests with questions. Organize meetings and conference rooms. Administer Critical Reports by assigning chassis and VIN number. Update Re-cap forms and enter into Mapics. Will be required to perform other duties as requested, directed or assigned.

Qualifications/Training:

Phone systems, e-mail, and internet browsing skills required. Must have the ability to read, write, and perform mathematical computations at a level required for successful job performance. Proficient in computer use and report generation using Microsoft Office Business Suites. Pay attention to detail Working independently in the absence of supervision. Establishing and maintaining cooperative working relationships. Working independently in the absence of supervision. Must be trustworthy with highly confidential information. Able to handle an emergency situation calmly. Ability to work in a courteous and professional manner with the public and employees. Ability to type a minimum of 40wpm. Ability to read, write, comprehend and verbally communicate simple instructions, short correspondence and memos in English. Ability to multi-task in a fast-paced environment Ability to solve practical problems and deal with a variety of changing situations. Must be computer literate and have some working knowledge of a general APICS or MAPICS system.

Education/Experience:

High School Diploma or equivalent. One year Administration/multi-phone line experience

Work Environment:
