:The Executive Assistant provides high level administrative support to the Provost. This includes managing appointments, schedules and travel arrangements to ensure the best use of the Provost's time; handling confidential information and maintaining the security of records and files; preparing documents and presentation materials; screening incoming correspondence and calls; drafting letters and reports. The Executive Assistant provides support for and maintains the Provost's strategic projects which are highly complex and involve creation and oversight of multifaceted teams. This position serves as the Provost's liaison to the community, including other University executives and key constituencies internal and external to the university, answering or resolving inquiries, or redirecting them as necessary. The Executive Assistant supervises additional staff who provide administrative support to the Office of the Provost. Essential Functions:

Provide executive-level administrative support to the Provost, including drafting and editing correspondence, preparing reports and conducting research as directed. Responsible for management of the Provost's complex calendar, travel and associated logistics. Assist with the preparation of agendas and presentations materials for meetings. Create and maintain confidential Provost's files and operational records. Responsible for researching, retention and retrieval of current or historical materials relevant to subjects, as needed. Serve as a liaison between the Office of the Provost and the President's Office, Cabinet, Vice Provosts and other key internal and external constituencies. Speaks for and advocates for the Office of the Provost.

Provides office management to ensure the smooth operation of the Office of the Provost. Serves as the Provost's Office contact person for requests made to University support offices such as Facilities Management, OIT. Responsible for oversight of central Provost's email account, researching or referral of issues and ensure appropriate responses and resolution of problems .

Support strategic and special projects. Assist with the appointment of project teams reporting to the Provost. Conduct research on key topics/issues and make recommendations. Drafts, edits and finalizes Provost's correspondence, letters, reports and operational requests to the university community. Reviews and edits reports and drafts submitted to the Provost by others for approval and signature. Assist with monitoring and reporting progress on division and units' strategic goals.

Hire, trains, and manages administrative support staff for the Office of the Provost. Provide ongoing coaching and seek opportunities for professional development to ensure a high performing and engaged staff.

Other duties as assigned by the Provost.

Coordinates special events hosted by the Provost, including the Annual Retreat, receptions for incoming/outgoing deans, vice provosts, and immediate staff, and various meetings and luncheons.

Position Type/Expected Hours of Work:

35 hours/week.

Full-time.

Exempt.

Required work schedule: 9am to 6pm Monday thru Friday, with occasional additional hours as needed.


Salary Range :

Commensurate with experience.

Supervisory Responsibilities: The Executive Assistant reports directly to the Provost and works with minimal supervision. Reporting directly to this position are a fulltime Senior Administrative Assistant and part-time administrative support personnel. Required Education and Experience:

Bachelor's degree or the equivalent in training and experience.

At least 7 years' experience providing high level administrative support, including 2 years' experience supporting an executive.

Prior editing experience with excellent attention to detail.

Preferred Education and Experience:

Prior work experience in an academic institution and prior supervisory experience are a plus.

Additional Eligibility Qualifications:

Proficiency with a variety of computer software programs including Microsoft Office Suite, and the ability to learn more complex programs (i.e. SharePoint, business intelligence reporting, etc.) are required.

Must have strong interpersonal skills and be able to work as part of a team with senior staff at AU and other universities.

Must have excellent verbal and written communication skills, time management skills, problem-solving skills, and be able to prioritize and work well under pressure.

Flexibility, reliability, and the willingness to take initiative are also required.

Must be able to exercise discretion and have good judgment in handling confidential information and resolving sensitive matters.
