Job Description

Our client is seeking a highly organized, detail-oriented professional Executive Assistant to support their visionary CEO on his mission to elevate the world’s perception of the beauty industry. You’ll be a strong communicator and scheduler who can efficiently manage the CEO’s time. You’ll also both handle tasks independently and be able to delegate tasks for others to complete on behalf of the CEO. 

Core responsibilities include:

  • Communication Management: Receiving and managing incoming communications or memos addressed to CEO. Review contents, prioritizing based on importance, summarizing or distributing to appropriate staff members as necessary. 

  • Project Management: Manage delegated projects to support organizational health, including campaigns and events. Effectively utilize the CEO’s calendar as a communication tool and a project management tool for assigned tasks to keep things moving. Verbal communication and to-do lists are ineffective methods. 

  • Gatekeeping: Help streamline the CEO’s daily schedule to improve his productivity while protecting his energy and time. You know what can be intercepted and handled independently and what needs the executive’s attention regarding scheduling, meetings, appointments, and travel arrangements. 

  • Meeting Coordination: Schedule and organize meetings on behalf of CEO, including logistical arrangements and attendance. Ask great questions for proper preparation while taking comprehensive meeting notes and book follow-up meetings.

  • Travel Arrangements: Coordinate and arrange travel itineraries and accommodations for CEO and others accompanying him, ensuring efficient scheduling, personal preferences, and cost-effectiveness. 

  • Provide Executive Support: Create and optimize systems and processes to support the Co-Founder and leadership staff. 

  • Policy Development and Implementation: Collaborate with leadership to contribute to the development, implementation, and enhancement of organizational policies and procedures.

  • HQ Office Operations: Perform general office tasks, including recording maintenance, supply ordering, and basic bookkeeping.

  • Training Coordinator Role: Project management and implementation of the Up Next Process for all Coaching and Training Calls. Identify needs for the Academy and share with all necessary departments. 


Qualifications

  • 3-6+ years of executive assistant experience preferably in the beauty or sales coaching industry. 

  • Extremely organized with ideally a project management background. 

  • Master Communicator: Effectively communicate to the CEO, internally to the team, and externally outside the organization. Able to own and independently manage almost every piece of communication on behalf of the CEO with the ability to delegate tasks to the team when needed. 

  • Brand Ambassador: Characteristics including genuine friendliness, high energy enthusiasm, outgoing, authenticity, a sense of humor, and politeness. Always presenting yourself in a professional manner, in appearance, demeanor, and actions. 

  • Attention to detail: Ability to evaluate all details so the executive can remain focused on the big picture. This includes timeliness; being early, prepared, and game-ready. Your preparation is the executive’s preparation. 

  • Proactive: You forecast problems and create solutions before they arise.

  • Tech-savvy: experience using social media platforms, webinar platforms, CRMs, Zoom, Google Suite, and Mac experience or experience with other extensive tech stacks.

  • Excited to work in an environment similar to a startup. You have a track record of being adaptable to changing priorities in a fluid, high-growth environment.

  • Passionate and motivated about your work - you are eager to unlock your full potential and grow further in your career. 

  • Extremely organized and self-sufficient with the ability to work collaboratively in a fast-paced environment with changing requirements.
