GENERAL DESCRIPTION:
The Office Manager oversees all office functions for a seafood processing plant. This includes running the office, supervising employees, and ensuring the timeliness and accuracy of office functions such A/P, A/R, fish ticket entry, production reports, fisherman settlements, inventory, purchasing, onsite store, journal entries, G/L reconciliation and month end closing. Maintains compliant paper and electronic business records. Also responsible for training employees in accounting and office procedures, supporting corporate policies and initiatives and maintaining positive relationships with the fishing fleet and employees. This position is exempt from overtime and reports to the CFO with dotted line reporting to the Plant Manager.
RESPONSIBILITIES:
Performs and manages all office functions: A/P, A/R, fish ticket entry, production reports, settlements, inventory, purchasing, onsite store, journal entries, G/L reconciliation and month end closing.
Supervises and trains staff in the office, retail store, and shipping department.
Maintains accurate, real time inventory records for products held at the plant and at an offsite cold storage facility.
Backs up the payroll functions for the HR Manager.
Ensures all office operations conform to company standards and good accounting practices.
Works with employees and supervisors to maintain harmonious working relationships and resolve conflict, in line with company policies.
Develops long-term working relationships with employees, fishermen, local communities, and vendors.
Maintains accurate, compliant and organized paper and electronic files, including personnel and payroll files.
Provides administrative assistance to management group (spreadsheets, reports, PowerPoint presentations).
Onsite notary.
Works with other NPSI plants and the corporate office on various projects and initiatives.
Other duties as assigned.
QUALIFICATIONS:
3+ years of office manager accounting experience, preferably in the Alaska seafood industry.
Experience with Alaska Department of Fish and Game (ADFG) fish tickets.
Degreed preferred.
Proven ability to manage employees, accounting and office functions.
Working knowledge of good accounting practices.
Influential, collaborative, professional demeanor. Effective oral and written communications.
Intermediate Microsoft Office skills (Word, Excel, Power Point, Outlook).
Ability and willingness to work in a seafood processing plant. This working in an office adjacent to a seafood production plant (inherent hazards include moving machinery, ammonia, wet floors, noise, forklift traffic, etc.), and moving throughout the plant to perform work.
Ability to work long hours, seven days a week, during the production seasons.
Consistent and reliable attendance is an essential function of this position.
