POSITION SUMMARY

GENERIC JOB DESCRIPTION:

The classification will undertake a variety of administrative and program management tasks in support of the operations of programs. This would include planning and organizing programs and activities in assigned areas where they will need to plan, implement assigned programs with strict deadlines while staying within constraints by utilizing resources effectively. The incumbent will facilitate the effective management of programs according to the organization's standards.

DUTIES AND RESPONSIBLITIES

  1. Program coordinators research, manage, coordinate, and oversee different programs in assigned areas.
  2. Monitor approved expenditures of a program; prepare financial statements (if applicable), and may maintain contracts for their organizations as well as maintain records pertaining to activities in that particular area.
  3. Work with internal and external stakeholders.
  4. Support planning and coordination of a program and its activities.
  5. Ensure implementation and compliance of policies and practices.
  6. Maintain budget and track expenditures/transactions.
  7. Manage communications through media relations, social media etc.
  8. Help build positive relations within the team and external parties.
  9. Schedule and organize meetings/events and maintain agenda.
  10. Ensure technology is used correctly for all operations (video conferencing, presentations, databases, etc.,).
  11. Prepare paperwork and order material.
  12. Keep updated records and create reports or proposals.
  13. Support growth and program development.
  14. Any one position may not include all of the duties listed. However, the allocation of positions will be determined by the amount of time spent in performing the essential duties listed above.
  15. Perform other job-related duties as required or assigned.
FUNCTIONAL AREAS:

Program Coordinator will perform administrative and educational work in the planning development, and implementation in support of the operations of programs. Perform professional level work developing, organizing, administering, and evaluating assigned programs and functions. Provide guidance and technical expertise to assigned program staff, other departments, the community, and program participants. Incumbent may coordinate one or more specialized programs. Responsible for the management and coordination of programs in accordance with pertinent Federal, State laws and departmental policies and procedures. Train and evaluate educational services, staff members and volunteers and monitor their performance. Ensure timely entry and updating of data by the various program owners and reporting on deficiencies for programs related to department.

DUTIES AND RESPONSIBILITIES

Human Resources:

  1. Organize, implement, supervise, and evaluate the activities of the Summer Intern Program.
  2. Conduct intern employability training.
  3. Coach interns and monitor their weekly performance.
  4. Assist in tracking, collecting, recording, and reporting program data as requested.
  5. Ensure the timely and accurate entry of data.
  6. Ensure interns are gaining adequate knowledge and experience.
  7. Conduct end of program evaluations and submit evaluation data reports, intern records, and suggestions for program improvement.
  8. Recommend and participate in the implementation of goals and objectives; establish schedules; recommend and assist in development of procedures.
  9. Work with employment mentors to define intern positions.
  10. Serve as a liaison between Bernalillo County Human Resources, employer mentor, and the interns.
  11. Maintain intern participation file to include time worked, weekly performance data, training completions, and other relevant documentation.
  12. Design and implement a framework for regular check-ins and site-visits with interns and mentors.
  13. Create and implement preparatory experiences focused on workplace readiness skills that support the interns career growth and development.
  14. With guidance from the county design weekly reflection and evaluation tools for interns.
  15. Support the intern recruitment and application process.
  16. Assist the county with the intern selection and matching process.
  17. Support interns through the required County onboarding process. With mentors in mind, design a closure activity in which interns demonstrate what they accomplished and learned from the experience.
  18. Learn about challenges faced by interns during their participation and help to address them.
  19. Collaborate with County, mentors, and partners to facilitate effective coaching approaches for interns that make use of culturally responsive and timely intervention and acceleration strategies to support each student's professional, personal, and social-emotional success.
  20. Familiarize self with the position descriptions and work settings for each intern.
  21. Submit verified timecard information for intern each pay period.

Minimum Qualifications
  1. Bachelor's Degree in related field and two (2) years of work experience as it pertains to the purpose of the positions. Any equivalent combination of related education and/or experience may be considered for the above requirements.

ADDITIONAL REQUIREMENTS:
The offer of this Bernalillo County position requires compliance with the following:
  1. Employee must successfully complete the post-offer employment medical examination and background investigation.
  2. Employee must comply with the safety guidelines of the County.
  3. Employee must complete required FEMA training(s) as assigned to position.
  4. Employee must complete required Supervisor classes if applicable.
  5. Depending on assignment, some positions in this classification may require possession of a valid New Mexico driver's license by employment date and maintain while employed in this position.

WORKING CONDITIONS

  1. All essential duties are performed mostly indoors, with some positions performing functions in an outdoor and field setting.
  2. Duties are performed in a temperature controlled environment.
  3. Duties are performed on an even surface, which may be carpeted or tile. Working surface is typically dry.
  4. Worker often works alone both with or without directions from supervisor.

EQUIPMENT, TOOLS AND MATERIALS

  1. Equipment typically used in the performance of office duties include telephone, computer keyboard, computer printer, photocopy machine, facsimile machine, and calculator.
  2. Materials and products handled in the course of performing essential duties include files, forms, reports, various other paperwork, and a wide variety of basic office supplies.
