Human Resources Clerk

Under direct supervision of Human Resources Directors provide daily reception and clerical assistance for the efficient operation of the Human Resources office. Handle routine human resources inquiries and provide responsive and knowledgeable assistance to employees. Support will include both clerical and staffing services in support of applicants, new and existing employees, and retiring or resigning employees.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient keyboarding skills
Effective organization, communication, and interpersonal skills
Ability to follow written instructions
Ability to operate multi-line phone system
Experience:
One-year clerical experience in an office setting
Major Responsibilities and Duties:
Reception and Phones
1. Serve as the district resource person for questions regarding the various operations and services of the Human Resources Department.
2. Assist in all onboarding processes and orientations.
3. Register all new employees into the staffing system, and issue welcome packets and badges.
Other
1. Provide support for the Human Resources Specialist.
2. Present the district in a positive way to the applicants and community we serve professionally.
3. Serve as a resource to all employees in answering their questions or attempting to send
them in the right direction to get their answers and take reliable messages.
4. Assist with the filing and the confidentiality of personnel files in the office.
5. Assist with creating new personnel records for all new employees after all records are in
order.
6. Assist in staff development provided by the Human Resources office.
7. Assist applicants in filling out online applications.
8. Receive, sort, and distribute mail, messages, documents, and other deliveries.
9. Work cooperatively with payroll and other Human Resources staff.
10. Assist with employees in disrupting any district operation beyond the district's control (e.g., lack of school funding, natural disasters, court orders, public insurrections, pandemics, war, etc.).
11. Assist employees in the resignation/termination process to ensure proper paperwork and technology have been submitted.
12. Add new hires to the Skyward system.
13. Maintain an up-to-date list of new hires for new hire sessions and notify other departments.
14. Assist walk-ins as they arrive at the office.
15. Contact leavers with the employee exit process and assist with any questions regarding leaving the district.
16. Verification of I-9s for new hires.
17. Contact new hires who have not completed their electronic paperwork and new hires who need to sign up for new hire sessions during the new hire season.
18. Maintain confidentiality of information.

None.
