Overview:
This position will be responsible for providing high level administrative and paralegal support to the Deputy General Counsel.

Responsibilities:
Principal Duties and Responsibilities:

 

Provide general support to Deputy General Counsel(s)

Coordinate meetings and conference calls.

Work on various projects as assigned by Deputy General Counsel(s).

Various accounts payable activity including processing, obtaining required approvals, and submitting to Treasury for payment of legal settlements and various legal vendors.

Establish and maintain appropriate documentation and files as needed.

Maintain integral support role in complex projects assigned by the Deputy General Counsel(s) such as organizing, prioritizing and executing large volumes of highly confidential and time-sensitive information.

Provides clerical and administrative support to Litigation Team in the Miami Corporate Office.

Proactively manage calendars, schedules, and appointments by anticipating current priorities and areas of focus in order to prioritize and arrange future schedules.

Schedule and coordinate meetings, appointments and business travel arrangements for Deputy General Counsel(s)

Type business letters, memorandums, presentations, and other correspondence in an accurate and timely manner.

Collect daily, monthly, weekly, quarterly reports from Outside Counsel in the region.

Ability to answer and prioritize phone calls/emails, providing ongoing public relations and assisting in resolving problems.

Ability to take detailed phone messages.

Prepare and process expense reports in a timely manner.

Create and edit presentations/spreadsheets.

Effectively communicate with others and solve problems on a daily basis.

Develop processes and efficiencies for quarterly reporting.

Coordinate all materials for meetings and manage all mailings.

Cross train in other areas as necessary.

Special projects or other duties as assigned by Deputy General Counsel(s)

Prepare and Revise reserve memos

Create vendor account in JDE and Legal Tracker

Confirm vendor info in JDE as/when needed.

Compile data and generate reports for quarter-end reporting including.

Generate Operations reports for Rothman’s Division

Confirm accuracy of costs on invoices

Respond to Legal Tracker inquiries as well as clear Legal Tracker Audits and update Legal Tracker fields and other audits assigned by Legal Tracker

Close Legal Tracker Matters: make certain Settlement agreement or joint notice of dismissal/stipulation is uploaded to Legal Tracker or any other relevant document. Also close matter information to quarterly Case Resolution Report

Generate and maintain monthly case list for Deputy General Counsel

Send Insurance reporting chart to Outside Counsel

Qualifications:
Education and Experience Requirements:

 

Bachelor’s degree and paralegal certification Two (2) plus years in a paralegal position (or equivalent) within a law firm or corporate in-house supporting regulatory and/or transaction (preferably real estate) lawyers. Experience with contract coordination for large company preferred

Strong work ethic, good judgment, attention to detail, sense of responsibility, and ability to work under pressure

Proven ability to revise, organize, and track an extremely large volume of documents

Team player, able to work well with other members of the corporate legal, accounting, HR and operational teams to achieve company objectives on an often short timeline

Strong intelligence, knowledge of required functions and ability to work independently with minimal oversight

Excellent time management and outstanding organizational skills

Experience as a paralegal, legal executive assistant, or in similar roles

Proficient in Microsoft Word, Excel, Outlook, and PowerPoint (familiarity with iManage, Salesforce, and Serengeti also desirable)

Ability to maintain a professional appearance (culture is business casual, however position is highly visible)

Valid driver’s license

Accurate typing at least 65 wpm

Strong written and verbal communication skills

Good interpersonal skills and ability to communicate effectively

Must possess professional appearance and demeanor

Must possess ability to handle priorities under pressure

Maintain regular attendance and punctuality relative to daily work schedule is required

Interact well with co-workers

Understand and follow work rules and procedures

Accept constructive feedback

Physical Requirements:

 

This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less.  Finger dexterity is required to operate a computer keyboard and calculator.  May be required to operate a motor vehicle.
