Correspondence Coordinator

Coordinate activities involving release of medical information. Comply with regulatory requirements and hospital policy/procedures in the release of confidential information.

Responsibilities:
1. Training and orientation of new staff/Covering staff
1.1 Will be responsible for orienting and training file clerk staff to assist with copying records for release.
2. Release of Information office administrative functions
2.1 Maintain equipment and supplies by monitoring paper trays/stock, toner, envelopes, tape, staples, etc. and submitting supply orders as needed.
3. Processing of incoming requests for information
3.1 Open and date stamp incoming mail; record request information in the hospital information system.
4. Quality and timeliness
4.1 Review and screen subpoenaed records for completeness; refer problem records to manager for additional review.
5. Quality and timeliness, continued
5.1 Ensure all subpoena and audit deadlines are met and that all record requests are completed within 30 days of receipt.
6. Service
6.1 Greet customers courteously in person and by phone.
7. Computer skills
7.1 Uses hospital computer and information systems (HIS and electronic medical record) correctly, creating and obtaining accurate information.
8. Teamwork
8.1 Communicates concerns and issues to the Clinical Information Manager.
Qualifications:
EDUCATION
High school diploma or equivalent.
EXPERIENCE
1 year experience required in release of health information, processing subpoenas, and interpreting federal (HIPAA) and State regulations regarding the privacy and use of health information.
