West Philadelphia Preschool seeks candidates with previous childcare administrative experience. High preference is given to candidates with Bachelor's degrees in Early Childhood or Education Administration. Previous experience with child care center setting , subsidized care and STARS requirements. This is an administrative position of an operational nature, involving responsibility for general Childcare facility management. Strong organizational and communication skills are a must. Employees in this class perform a variety of complex secretarial/clerical, and administrative duties which require comprehensive knowledge of the Pre-school/ School-age program operations, policies and procedures. Training in this area is available to strong candidates. The administrative secretary will at times have to exercise independent judgment and action, including making frequent decisions in accordance with delegated responsibilities from assigned supervisor. Primary emphasis is placed upon relieving the supervisor of administrative details by preparing considerable correspondence, compiling and summarizing data into concise form and by preparation of reports. An employee in this class receives guidance from a supervisor and is expected to exercise considerable tact, discretion, and judgment. The employee may be required to train and supervise other clerical and child care personnel. Performance is evaluated periodically. EDUCATION

REQUIREMENTS:
Bachelor’s Degree in related education field ,related sociology, behavioral health or business management is highly preferred.
- Performs experience level administrative tasks of a confidential nature including but not limited to producing letters, reports, memorandums, etc. via the computer; makes photocopies, files, distributes mail, etc.
Must be computer literate with a high level of mastery regarding Microsoft Office and ability to learnand adapt new computer applications.
- Communicates in a positive and effective manner with staff, students, co-workers, parents and/or visitors
- Answers telephone communications and record messages
- Proficiency in written and spoken English
- Flexibility in assignment to coordinate duties with Operations Administrator
- Other duties as assigned. EXAMPLES OF WORK Composes letters, memorandum, develops charts, graphs, and diagrams Answers telephone, takes messages and answers inquiries within assigned scope of responsibility Schedules appointments, maintains calendar, allocates supervisor’s time Schedule meetings and reserve rooms for meetings Correspond with families, staff and children on a daily basis. Prepares materials for workshops, conferences, meetings, duplicates/collates Maintains files and financial records Flexible in assignment Understanding and Completing CCIS, DPW, Pre-K Counts documentation Understanding of CACFP,COPA, Pelican and Work Sampling preferred Maintains attendance reports leave records, trip records and logs Proofreads and edits Prepares reports Maintains and processes forms Runs occasional job related errands out of the office (driver’s license highly preferred) Orders, distributes, and keeps an inventory of supplies Performs other duties assigned There are great opportunities for growth within the school for professional candidates who are looking for a life-time career in education.
