About This Position

The City of Phoenix is seeking an Administrative Assistant II within the Technology Services Division (TSD) of the Water Services Department (WSD). Reporting directly to the Assistant Chief Information Officer (ACIO), this position provides high-level administrative, financial, operational, and organizational support to the ACIO and works closely with Technology Services leadership and staff.
This is a broad administrative role supporting a complex technology organization. The position coordinates work across teams and supports financial management, procurement, asset management, organizational communications, strategic initiatives, customer engagement, and special assignments. The successful candidate will be organized, responsive, able to manage competing priorities, and willing to develop a working understanding of technology operations and the business needs supported by TSD.
The position works closely with the IT Business Operations Manager, Infrastructure Services Manager, Applications Support Manager, and other TSD staff to coordinate work across functional areas. It is a fast-paced, customer-centric environment where priorities can change quickly and multiple assignments may require attention at the same time. The employee will have opportunities to expand knowledge and responsibilities through demonstrated performance.
What You Will Do
• Provide executive administrative and operational support to the ACIO, including calendar management, scheduling, correspondence, meeting preparation, communications, and follow-up.
• Coordinate meetings and assignments involving TSD leadership, staff, customers, vendors, and organizational stakeholders, including materials, action items, and follow-through.
• Support strategic planning, technology roadmaps, organizational priorities, technology initiatives, research, reports, presentations, and special assignments. Assist with budget administration, expenditure tracking, financial reporting, forecasting, reconciliation, and financial activities.
• Coordinate procurement activities, purchase orders, invoices, contracts, renewals, subscriptions, and vendor administration.
• Support technology asset management, inventory, lifecycle tracking, replacement planning, and related administrative coordination.
• Work across TSD teams on administrative and operational activities and support customer engagement, communications, surveys, issue follow-up, and commitments.
• Develop and maintain trackers, reports, dashboards, spreadsheets, presentations, records, and other tools supporting TSD operations and leadership decision-making.
• Assist with process improvement, organizational changes, recruitment and onboarding, records management, internal controls, and other administrative functions.
• Coordinate special assignments involving multiple TSD teams and adapt quickly when priorities change while maintaining organization, responsiveness, and attention to detail. WORK SCHEDULE This position is 100% on-site, Monday

• Lateral transfers occur when there is no change to the last two digits of the pay grade.
