Position Summary
The Administrative Assistant role within D.A. Dodd’s Service and Contract Departments is essential for the department's efficient operations. This position requires an organized and detail-oriented individual who can effectively manage multiple tasks.
Essential Functions & Responsibilities
- Set up new customer information and perform credit evaluations.
- Communicate pricing updates and rate changes to customers.
- Generate and issue invoices accurately and in a timely manner, ensuring all labor and materials are properly charged.
- Monitor outstanding invoices, communicate with clients to ensure timely payments, and keep the Service Manager informed of any issues.
- Establish and maintain job files, work/job numbers, documentation, and spreadsheets.
- Provide coverage as needed for purchase orders, material ordering, and dispatch responsibilities.
- Coordinate and maintain all parking permits and associated records.
- Develops and maintains a thorough understanding of the customer base, including key demographics and customer needs.
- Maintain inventory and order office supplies as needed to support departmental operations.
- Greet visitors, answer phones, and direct calls.
Skills and Competencies
- Strong attention to detail and organizational abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Ability to prioritize tasks and work efficiently under pressure.
- Familiarity with construction terminology and processes is a plus.
- Willingness to learn and adapt to new tasks and responsibilities.
Qualifications
- High school diploma or GED required.
- Minimum of two (2) years of related administrative experience, preferably in a construction environment.
FLSA Status
This is a non-exempt, full-time position.
Reporting
This position reports to the Service Manager and VP of Construction
