DescriptionThe Railcar Maintenance Administrator supports daily rail operations at the Formosa rail yard by coordinating maintenance activities, managing railcar service documentation, and handling all associated billing. This role partners closely with rail technicians, yard supervisors, contractors, and customer representatives to ensure accuracy, compliance, and efficient railcar turnaround.Key ResponsibilitiesMaintenance CoordinationTrack inbound and outbound railcars and maintain accurate status recordsOpen, update, and close maintenance work orders in alignment with yard workflowsSchedule and coordinate inspections, repairs, and preventive maintenance with internal teams and 3rd-party contractorsMaintain railcar service history and downtime logsDocumentation & CompliancePrepare, manage, and retain maintenance reports, inspection forms, and regulatory documentationEnsure work complies with DOT,FRA, AAR, company standards, and customer requirementsSupport audit readiness and proper documentation controlsBilling & Cost TrackingReview work orders and confirm correct labor hours, material usage, and contractor chargesGenerate accurate customer invoices or billing packetsReconcile discrepancies and track cost metrics related to railcar maintenanceWork directly with accounting or customer contacts when neededCommunication & CoordinationAct as the primary administrative contact between rail yard operations and customer representativesProvide daily railcar status updates and communicate release informationSupport monthly reporting requirements and performance data submissionsRequirementsRequiredExperience in railcar maintenance administration, transportation logistics, industrial maintenance support, or related operationsWorking knowledge of railcar billing processes, work order systems, or maintenance tracking toolsStrong proficiency with Microsoft ExcelHigh attention to detail and accuracy in documentationAbility to work in a fast-paced industrial/rail yard environmentPreferredPrior experience in a rail yard, petrochemical facility, or Formosa siteFamiliarity with FRA/AAR/DOT regulationsExperience with ERP, railcar billing portals, or maintenance management softwareRailcar mechanical or operations knowledgeWork EnvironmentRail yard / industrial environment; steel-toe boots & PPE requiredFrequent coordination with field personnel and mechanical teamsExposure to outdoor conditions and heavy equipment
