Duties

  • Greet visitors and clients warmly, creating a professional and inviting atmosphere
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously
  • Handle incoming correspondence, emails, and inquiries with promptness and clarity
  • Maintain appointment calendars and schedule meetings using calendar management tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily tasks
  • Support office operations by managing supplies, organizing files, and overseeing general clerical duties
  • Provide customer support through effective communication, active listening, and problem-solving
  • Assist with bookkeeping tasks as needed, including basic bookkeeping using QuickBooks or similar software
  • Maintain excellent phone etiquette while handling inquiries from clients or patients in a professional manner
  • Support personal assistant duties when required, including scheduling and administrative support for executives or team leaders

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
  • Prior experience working as a receptionist in dental or medical settings is highly desirable
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Bilingual abilities are a plus to effectively communicate with diverse clients or patients
  • Familiarity with multi-line phone systems and office equipment such as printers and fax machines
  • Ability to type quickly with high accuracy; attention to detail is essential for proofreading documents
  • Knowledge of basic bookkeeping principles; experience with QuickBooks is preferred
  • Strong time management skills to prioritize tasks effectively throughout the day
  • Previous experience in medical or dental receptionist roles is advantageous but not mandatory
