Overview

We are seeking a dedicated and detail-oriented Office Assistant to join our dynamic team. The ideal candidate will possess a strong background in office management and administrative support, demonstrating exceptional organizational skills and a commitment to providing outstanding customer service. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office, managing various clerical tasks, and supporting both staff and clients effectively.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy.
  • Operate multi-line phone systems to efficiently manage incoming calls and direct them appropriately.
  • Perform data entry tasks with accuracy, maintaining organized records and filing systems for easy access.
  • Utilize Microsoft Office Suite and Google Workspace to create documents, spreadsheets, and presentations as needed.
  • Provide customer support by addressing client concerns and inquiries promptly, ensuring a positive experience.
  • Assist in calendar management for team members, scheduling appointments, meetings, and events efficiently.
  • Maintain office supplies inventory by monitoring stock levels and placing orders as necessary to ensure uninterrupted operations.
  • Conduct proofreading of documents to ensure clarity and accuracy before distribution.

Requirements

  • Proven experience in an office environment with a focus on clerical duties and administrative support.
  • Proficiency in QuickBooks for basic bookkeeping tasks is highly desirable.
  • Strong computer literacy with experience in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
  • Effective phone etiquette with strong communication skills for interacting with clients and colleagues alike.
  • Bilingual capabilities are a plus, enhancing communication with diverse clientele.
  • Experience as a dental or medical receptionist is advantageous but not mandatory; personal assistant experience is also valued.
