We are seeking a dedicated and detail-oriented Office Assistant to join our dynamic team. The ideal candidate will possess a strong background in office management and administrative support, demonstrating exceptional organizational skills and a commitment to providing outstanding customer service. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office, managing various clerical tasks, and supporting both staff and clients effectively.
Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy.
- Operate multi-line phone systems to efficiently manage incoming calls and direct them appropriately.
- Perform data entry tasks with accuracy, maintaining organized records and filing systems for easy access.
- Utilize Microsoft Office Suite and Google Workspace to create documents, spreadsheets, and presentations as needed.
- Provide customer support by addressing client concerns and inquiries promptly, ensuring a positive experience.
- Assist in calendar management for team members, scheduling appointments, meetings, and events efficiently.
- Maintain office supplies inventory by monitoring stock levels and placing orders as necessary to ensure uninterrupted operations.
- Conduct proofreading of documents to ensure clarity and accuracy before distribution.
Requirements
- Proven experience in an office environment with a focus on clerical duties and administrative support.
- Proficiency in QuickBooks for basic bookkeeping tasks is highly desirable.
- Strong computer literacy with experience in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
- Effective phone etiquette with strong communication skills for interacting with clients and colleagues alike.
- Bilingual capabilities are a plus, enhancing communication with diverse clientele.
- Experience as a dental or medical receptionist is advantageous but not mandatory; personal assistant experience is also valued.
