Warehouse & Office Coordinator (Quality + Logistics)

Location: On-site – Miami, FL (Warehouse Office)

Employment Type: Full-Time | In Person

Pay: $18.00–$25.00/hour (starting at $20/hour)

Department: Operations

Reports to: Project Manager & Quality Control; supports CEO/Leadership

As the Warehouse & Office Coordinator (Quality + Logistics), you are the core presence in our warehouse office, ensuring the entire workflow from inventory and logistics to quality and documentation runs smoothly.

You'll connect with project management, quality control, installers, and leadership to make sure materials, information, and schedules are aligned. Your organization, communication, and follow-up will keep the company running efficiently and reduce unnecessary costs or delays.

What You'll Do

Warehouse Operations & Inventory

  • Maintain organization, cleanliness, and safety of the warehouse.
  • Conduct inventory tracking, labeling, and cycle counts.
  • Stage and prepare materials per project schedule.
  • Log returns and verify all incoming/outgoing materials.

Logistics & Scheduling

  • Coordinate pick-ups and deliveries with shipping companies and drivers.
  • Ensure crews depart on time with correct documentation and materials.
  • Track shipments and communicate status updates to the Project Manager and QC.

Office Administration & Communication

  • Answer phones and emails promptly and professionally.
  • Maintain administrative documents: insurance, labor, and compliance files.
  • Support payroll tracking and labor hour organization with accounting.
  • Assist the CEO and office leadership with operational organization.

Project Management & Quality Control Support

  • Communicate daily with Project Managers and Quality Control.
  • Prepare job folders and verify field documentation.
  • Ensure installations are fully equipped and documented correctly.
  • Perform visual inspections of doors and components before release.

Requirements

  • 2–3+ years of experience in warehouse coordination, logistics, or office administration (construction/manufacturing preferred).
  • Fully bilingual in English & Spanish (spoken and written).
  • Strong organization, reliability, and communication skills.
  • Proactive attitude and ability to handle multiple priorities.
  • Familiarity with software work management and accounting software
  • Valid driver's license; ability to lift up to 50 lbs.
