You and Your Job
As a successful Executive Assistant you will provide dedicated support to the CEO of North America and other New York based Executive Team members. You will play a critical role in ensuring the CEO's office operates seamlessly, with a focus on anticipating needs, driving efficiency, and maintaining a positive and professional environment.

The Executive Assistant will thrive in a fast-paced environment, and bring energy, discretion, and excellent judgment to every interaction. This role combines high-level executive support with broader office and event coordination responsibilities.

Job Responsibilities

  • Provide comprehensive administrative support, including managing complex calendars, scheduling meetings, coordinating travel, and preparing briefing materials.
  • Act as gatekeeper and first point of contact for internal and external stakeholders; represent the CEO's office with professionalism, discretion, and warmth.
  • Anticipate needs and proactively manage shifting priorities, ensuring deadlines are met and the CEO is well-prepared.
  • Coordinate and support executive leadership team meetings including logistics and follow-up action items.
  • Handle confidential information with the utmost discretion.
  • Partner with the CEO's Business Manager to ensure smooth flow of information and alignment across priorities.
  • Manage and welcome external visitors to the New York office, ensuring a professional and hospitable experience.
  • Support client and internal events, including coordinating catering, logistics, and meeting materials.
  • Oversee general office support tasks for the CEO's office, such as ordering supplies, arranging meals, and coordinating with building services as needed.
  • Track expenses and process reimbursements in a timely and accurate manner.
  • Assist with onboarding and integration of new senior team members when required.

To be considered for the Executive Assistant role, you must have:

  • Bachelor's degree in Business Administration, Finance, Communications or related field or equivalent experience
  • 5+ years of relevant experience supporting senior executives, ideally within financial services or another fast-paced, global organization
  • Exceptional organizational and time management skills with proven ability to manage multiple priorities
  • Strong interpersonal skills and the ability to build relationships across all levels of the organization
  • Solutions-oriented mindset, with a track record of handling unexpected issues calmly and effectively
  • Polished written and verbal communication skills
  • Advanced in Microsoft Office tools

Salary Expectations:
Target Hiring Range: $100, $120,000.00
This position is subject to the terms of Rabobank's compensation plans and policies. It is anticipated that the position will pay within the target hiring range. The range is reflective of the desired primary physical work location and may be adjusted outside of the projected range based on geographical differentiation if the actual work location of the hired candidate differs from the desired primary location, or for other lawful reasons. Further, all full-time regular positions include all other benefits provided to Rabobank employees, including healthcare benefits, 401k matching, vacation, sick leave, parental leave, possible discretionary bonuses and all other benefits that are all governed by and subject to ERISA plan documents and eligibility.
