Administrative Assistant

River Bend Club
serves as the welcoming face of the organization, ensuring exceptional service for members, guests, and staff. This position is responsible for managing front desk operations, including phone and email communications, reservations, and general member assistance. The role also provides administrative support across multiple departments such as accounting, food & beverage, and member services.
The ideal candidate is organized, personable, and proactive—capable of handling multiple tasks with accuracy and professionalism in a hospitality environment. Strong communication skills, proficiency in Microsoft Office, and prior administrative or reception experience are required. This position offers the opportunity to play a key part in maintaining the high standards and warm atmosphere that define River Bend Club. Core competencies and expectations are as follows:
- Exceptional customer service skills with a friendly, professional demeanor.
- Strong oral and written communication abilities.
- Proficiency in operating and programming multi-line telephone systems and reservation software.
- Competence in Microsoft Word, Excel, Publisher, and Outlook.
- Ability to type a minimum of 50 words per minute.
- Capable of multitasking effectively in a fast-paced environment while maintaining attention to detail.
- Demonstrated ability to stay organized and meet deadlines.
Knowledge of emergency procedures and ability to perform required roles during emergencies.
Requirements:
This position reports to the Communication Director and duties for this position are as follows:
- Answer and route incoming phone calls; take and deliver accurate messages.
- Greet and assist members, guests, and staff in the front lobby.
- Provide club information and handle member inquiries via phone, email, or in person.
- Manage the reception email inbox (reservations, questions, inquiries, etc.).
- Distribute incoming mail and packages; handle outgoing postage.
- Maintain office supplies and ensure proper function of office technology.
- Support member service needs, including reservation booking, account assistance, and houseguest submissions, etc.
- Perform administrative tasks for various departments (creating name tags, laminating, printing, document creation, ordering items, etc.).
- Assist the accounting department with mailing statements, filing, and updating member information, etc.
- Provide support to Food & Beverage operations, including menu design, reservation coordination, floor plans, and to-go orders.
- Manage the Summer Kids Camp program: registration, communication with parents, supplies, documentation, and coordination with staff.
- Complete special projects as assigned by the Department Head.
Physical Demands and Work Environment
- Must be able to reach, bend, stoop, stand and lift to 40 pounds.
- Must be able to sit for prolonged periods of time.
- Moderate noise level in the work environment.
Education and/or Experience
- High School diploma or GED or higher.
- Administrative Assistants & Receptionists: 1 year (Preferred)
- Customer service: 1 year (Preferred)
Schedule:
- Tuesday through Saturday - 8:30 a.m.-5:00 p.m.
- Holidays
- Weekend availability
