Position OverviewThe Receptionist at Kristen Distributing Company is the first point of contact for visitors, clients, and callers, serving as the face and voice of our organization. This role is essential to creating a welcoming environment and supporting the administrative functions of the office. The Receptionist is responsible for managing front desk activities, handling inbound communications, assisting with daily financial transactions, and supporting internal departments with general administrative tasks.
Key ResponsibilitiesYour essential duties will include:
- Front Desk Management: Greet visitors warmly, direct them to appropriate staff, and maintain a clean, professional reception area.
- Phone and Email Communication: Answer and direct calls, relay messages, and respond to inquiries with clarity and courtesy.
- Customer Service: Provide a positive experience for all guests and clients, demonstrating patience and professionalism.
- Administrative Support: Perform general administrative tasks including filing, photocopying, scanning, and data entry.
- Invoice Processing: Generate and close customer invoices in the route accounting system, ensuring accuracy and timeliness.
- Payment Handling: Reconcile prior-day cash drawers, deposit checks into company bank accounts, and apply payments to customer accounts.
- Day-End Procedures: Complete Day Shut Down procedures in the accounting system and communicate completion to the appropriate personnel.
- Mail Coordination: Manage incoming and outgoing mail, including coordinating courier services as needed.
- Other Duties: Demonstrate flexibility and initiative by performing other job-related tasks as assigned to support office operations.

To be considered for this position, candidates should possess:
- High school diploma or equivalent.
- Additional certification in office administration or a related field is a plus.
- Proven experience as a receptionist or in a customer service role.
- Strong verbal and written communication skills.
- Polite and professional demeanor when interacting with visitors, clients, and colleagues.
- Excellent customer service skills.
- Ability to handle inquiries, requests, and issues with a positive and helpful attitude.
- Strong organizational and multitasking abilities.
- Ability to manage front desk responsibilities, including directing visitors, handling calls, and coordinating appointments.
- Good interpersonal skills and the ability to work well with a diverse range of people.
- Comfortable interacting with individuals at all levels within and outside the organization.
- Basic computer proficiency, including knowledge of Microsoft Office (Word, Excel, Outlook).
