Job Overview:

The Sales Associate supports the Sales and Marketing team in promoting the mission of our non-profit retirement community by assisting with outreach, tours, inquiry calls, administrative support, and customer service for prospective residents and their families. This role ensures a smooth and welcoming experience for all visitors and helps maintain accurate records to support the community's occupancy goals.

Key Responsibilities:

  • Prospective Resident Support
  • Greet and welcome prospective residents and their families, providing excellent customer service.
  • Assist in scheduling and coordinating tours, presentations, and follow-up activities such as calls, emails, mail outs, and/or appointments.
  • Conduct community tours, highlighting services, amenities, and mission.
  • Respond to phone and email inquiries with professionalism, promptness and accuracy.
  • Administrative & Sales Support
  • Maintain accurate databases of leads, prospects, and referral sources (CRM entry, updates, and reports).
  • Prepare marketing packets, brochures, and follow-up correspondence.
  • Support the preparation of sales reports and occupancy tracking.
  • Assist with coordination of resident move-ins, including paperwork when needed and communication between departments.
  • Provide concierge desk coverage as needed.
  • Marketing & Outreach
  • Assist with planning and executing community events, open houses, and educational seminars (in-person and/or virtual).
  • Support external outreach to referral sources, community partners, and local organizations.
  • Help ensure marketing materials are stocked, updated, and distributed.
  • Collaboration & Team Support
  • Work closely with the Sales & Marketing Director, Move-in Coordinator, and Care Team to meet occupancy goals.
  • Provide general office support, including filing, scheduling, and data entry.
  • Uphold the values and mission of the non-profit community in all interactions.

Qualifications:

· At least 1 year experience in sales support, customer service, or administrative roles (senior living, healthcare, or non-profit experience preferred).

  • Strong communication and interpersonal skills, with a warm and professional demeanor.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Ability to manage multiple priorities and deadlines.
  • Passion for serving older adults and supporting a mission-driven community.
  • Must be able to work on Saturdays.
