The Role

The Coordinator will support the SciTech Scity leadership by managing meetings, scheduling, communications, coordinating events, assisting with research, and providing administrative support. The Coordinator will report to both the Senior Director and Executive Director of SciTech Scity and work closely with the broader team to ensure smooth operations across events, marketing, and programmatic initiatives.

About SciTech Scity

Liberty Science Center is developing a "Science City of Tomorrow" in Jersey City—a 30-acre innovation campus called SciTech Scity devoted to using science and technology to address humanity's greatest challenges, from inadequate healthcare to climate change, and create a better future for all of us. The new campus, including the existing Liberty Science Center, home of the largest planetarium in the Western Hemisphere, will be officially named the Frank J. Guarini Innovation Campus.

What You'll Do

The Coordinator's responsibilities will vary depending on the needs of the business, but will focus on some combination of the following essential functions.

Meetings & Scheduling (50%)

  1. Schedule and organize meetings with internal teams, stakeholders, and external partners
  2. Prepare agendas, collect supporting materials, and distribute follow-up communications
  3. Proactively track deadlines and ensure action items are completed on schedule
  4. Maintain accurate records of meetings, notes, and action items
  5. Assist with general communications to ensure timely and professional correspondence
  6. Maintain master documents, files, and CRM data with up-to-date information

Event Coordination (20%)

  1. Plan and coordinate internal and external events, working closely with Events and AV teams
  2. Manage invitations, registrations, and attendee communications
  3. Assist in preparing materials for roundtables, presentations, and other strategic gatherings
  4. Ensure events run smoothly and meet organizational standards

Marketing & Communications (20%)

  1. Collaborate with the Liberty Science Center marketing team to create content and event materials
  2. Ensure social media and website content is up-to-date and engaging
  3. Own specific marketing tasks or campaigns from planning through completion
  4. Support communications with external stakeholders, ensuring accuracy and professionalism

Other Administrative Support (10%)

  1. Conduct basic research to support programs, initiatives, and events
  2. Implement and refine processes, systems, and workflows to improve efficiency
  3. Provide additional administrative support as needed to ensure smooth operations

Preferred Knowledge, Skills, and Abilities (KSAs)

  1. Strong organizational, communication, and interpersonal skills
  2. Proficiency with project management tools, particularly
  3. Ability to work collaboratively in a fast-paced environment and manage multiple priorities
  4. Experience with marketing, communications, or research preferred
  5. Exceptional written and verbal communication skills

Preferred Qualifications

  1. Bachelor's degree and 2+ years of relevant experience
  2. Experience in event coordination, project management, or administrative support

Physical/Environmental Demands

  1. Must be able to remain in a stationary position for prolonged periods of the workday while working at a desk and on a laptop
  2. Must be comfortable working in an open office environment in close proximity to others and that has a moderate noise level

Classification, Location & Schedule

The SciTech Scity Coordinator is a full-time position that is exempt according to FLSA overtime provisions. This role is expected to have availability to be on-site 3 days/week on an as-needed basis, some degree of flexibility to work remotely will be permitted with approval from the supervisor; however, the bulk of work hours will be on-site at Liberty Science Center until SciTech Scity's offices have been completed. Occasional early mornings, evenings, and weekends may be required. 

Compensation & Benefits

The base compensation for this role is estimated to be in the range of $50,000-$60,000; the final salary offer will be commensurate with abilities, education, certifications, and experience.
