Position Overview:
The Executive Assistant will provide administrative support to and act as a liaison between the EVP, Chamber staff, and external stakeholders. The executive assistant will work closely with the EVP to ensure that our day-to-day operations run smoothly. The successful candidate will be highly organized, detail oriented, and able to work independently in a fast-paced environment.
Responsibilities:
- Manage the EVP's calendar in an organized and efficient manner, including scheduling meetings and appointments and coordinating domestic and international travel arrangements, including flights, hotel reservations, and ground transportation.
- Serve as the primary point of contact for internal and external communications on behalf of the EVP.
- Manage meeting logistics.
- Greet and escort visitors.
- Coordinate and prioritize incoming requests, ensuring timely responses and
follow-ups. - Flag important communications for follow-up.
- Provide general administrative support, including answering phones, responding to emails, and ordering office supplies.
- Prepare and organize materials for meetings, presentations, and events, ensuring that the EVP is well prepared.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Precisely and strategically execute a variety of tasks with high attention to detail, organization, and process.
- Provide high-level, tailored support to the EVP.
- Partner closely with colleagues to plan and execute meetings and coordinate shared activities.
- Perform other administrative duties as assigned.
Qualifications:
- 5+ years of experience in an administrative support role, preferably supporting executive-level staff.
- Exceptional executive scheduling, organizational, and time-management skills with the ability to oversee multiple priorities in a fast-paced environment.
- Ability to juggle multiple busy and complex schedules to execute and prioritize scheduling requests.
- Build and maintain a strong network internally and externally with other executive schedulers to facilitate scheduling.
- Outstanding verbal and interpersonal skills with grace under pressure and attention to detail and accuracy.
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
- Ability to work independently and handle multiple tasks simultaneously.
- Ability to maintain confidentiality and exercise discretion at all times.
The salary range for this position is $68,000 to $73,000. The actual salary paid for this position will vary based on market data, an applicant's qualifications, relevant degrees, certifications, and other factors. Our full-time employees are eligible for benefits, including health care, vision, dental, retirement, and paid leave.
