We are seeking a Facilities
Coordinator
for our
New York, NY
office who will assist with the daily operations of the Sompo office. The Facilities Coordinator reports directly to the SVP, Facilities and works closely with the NY Office facilities staff to promote a safe, secure and suitable working environment by assisting with office services and facilities management responsibilities.

Key Accountabilities

  • Office Supplies/Breakroom
  • Assist with the coordination of office supply ordering (which will also include coffee and snack orders for the breakroom) to manage current supply and anticipate future needs
  • Assists with the oversight of breakroom supplies and coffee machines
  • Assists with the oversight of the cleanliness, organization and upkeep of kitchen areas, office supply/printer areas and all common areas of the office:
  • Serves as the back-up to the Senior Receptionist and Office Coordinator to maintain a presence at the main entrance to the office directing phone calls and visitors, handling all deliveries and mail and directing staff as needed
  • Closely coordinates with building management and outside vendors as needed to ensure maintenance and repairs are reported and resolved, vendors are managed, and service is consistent
  • Assists with the set up and break down of the training and meeting rooms for office events
  • Inspects office common areas at the end of each day to ensure they are organized, neat and clean
  • Assists with the emergency evacuation efforts
  • Helps manage the workspaces for both full-time staff and visitors; cleaning out vacated space as requested and setting up spaces for new hires; helps to maintain space/seating plan for the New York location

Qualifications

  • High School Graduate
  • (3 to 7) years' experience in office administration preferred
  • Experience in vendor relationship preferred
  • Demonstrates analytical ability and good business judgement
  • Incumbent must be able to manage multiple priorities
  • Demonstrates a sense of urgency
  • Demonstrates ability to achieve goals through teamwork and collaboration
  • Experience using Windows and Microsoft Office programs
  • Ability to communicate effectively with co-workers and other business colleagues
  • Performs a variety of tasks
  • Must be able to lift up to (50) lbs.
