Overview: We are seeking a motivated, detail-oriented individual to join our team as an Accounts Payable & Parts Department Specialist. This combined role will focus on reconciling accounts payable, supporting the parts department with tasks related to inventory management, tagging parts, returns, vendor relations, maintaining a clean and organized parts department, managing tire inventory, and potentially handling fleet account billing. Responsibilities:

Accounts Payable:

• Reconcile accounts payable invoices and ensure accurate and timely payments.
• Review and reconcile vendor statements to resolve any discrepancies.
• Maintain accurate records of all accounts payable transactions.
• Assist with month-end closing activities related to accounts payable.
• Collaborate with internal teams to resolve any payment-related issues.
• Process credit invoices.
• Update inventory records to reflect returned items, ensuring accurate stock levels.

Parts Department:

• Tag parts daily and ensure all parts are clearly labeled.
• Ensure parts are being returned in a timely manner and follow up on outstanding returns.
• Process credits for returned parts and ensure timely application to accounts.
• Update inventory records to reflect returned items, ensuring accurate stock levels.
• Ensure the parts department is tidy, organized, and clean at all times, following best practices for storage and maintenance.
• Collaborate with the parts team to ensure efficient operations and meet customer needs.
• Support the procurement process by working closely with vendors to ensure timely deliveries.
• Maintain a well-organized parts inventory, ensuring quick and easy access to products.

Tire Inventory Management:

• Maintain accurate tire inventory by regularly ordering tires that have been sold to ensure stock levels are sufficient.
• Track tire sales and proactively reorder tires to maintain inventory levels and prevent stock shortages.
• Monitor tire inventory closely to ensure accurate counts and availability.
• Coordinate with vendors to ensure timely delivery of tires.

Fleet Account Billing

• Handle billing for fleet accounts, ensuring accurate invoicing and payment processing.
• Collaborate with fleet clients to resolve any billing-related issues or discrepancies.
• Maintain records of fleet account transactions and ensure timely follow-up on unpaid invoices.

Qualifications:

• 2-3 years of experience in the auto parts industry
• Proven experience as an Accounts Payable Specialist or in a similar role.
• High school diploma or equivalent.
• Strong attention to detail and accuracy in data entry and analysis.
• Proficient in using Microsoft Office Suite (Excel, Word).
• Strong written and verbal communication skills.
• Excellent organizational and time management skills.
• Ability to multitask and meet deadlines.
• Self-starter with the ability to work both independently and as part of a team.
