SUMMARY
Under general supervision, this position performs administrative and supervisory work in directing the use of the Civic Center Complex. Responsibilities include direct supervision of permanent staff and indirect supervision of many part-time and contract employees, event coordination and execution, customer service, day to day operations and being accountable for large sums of money. This position will be required to work shifts including evenings, weekends, holidays, overtime as necessary by the department, and during inclement weather. This position is considered weather essential personnel.
ESSENTIAL RESPONSIBILITIES
- Supervises use of Civic Center Complex.
- Supervises permanent, part-time and contract staff including Usher, Security, and other contract services.
- Directs and trains Event Supervisors in their duties.
- Meets with potential clients to answer questions and explain policies.
- Oversees all client contact to discuss and arrange set-ups, event execution and the use of outside contractors.
- Monitors scheduled events to observe activities and enforce Civic Center Complex policies and regulations.
- Manages security for the facility before, during and after events.
- Oversees the overall cleanliness, maintenance and event set-up of the Civic Center Complex.
- Purchases and maintains equipment and supplies used in the facility.
- Arranges for "maintenance" and "up keep" of facility and equipment.
- Performs in-house safety inspections to ensure compliance with facility policies, city codes, and state and federal laws.
- Performs research, assembles reports, makes recommendations concerning improvements, and assists with budgeting process.
- Maintains event files, including event related statistics.
- Provides quality customer service to lessees, patrons and guests.
- Assists with interviews and hiring process for designated positions as needed.
- Performs all event supervisor duties as well as those designated under this job description.
- Performs other job-related duties as assigned.
MINIMUM REQUIREMENTS
Requires a High School Diploma or equivalent and a minimum of four years of public facility experience including at least two years in a supervisory position. Completion of Trained Crowd Manager class is required upon hire. Certified in First Aid and CPR/AED is required upon hire. Certified Meeting Professional or other event planning related certification is preferred. Valid Texas Driver's License required.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of management and supervisory principles.
- Knowledge of trades involved in staging shows, banquets, exhibitions, concerts, and special events(lighting, audio, electricity, etc) is desired.
- Basic knowledge of accounting and record keeping.
- Knowledge of the principles, methods and practices of staging events.
- Ability to operate computers for data entry and word processing.
- Ability to operate highly technical computer applications, such as CAD and event management software.
- Strong verbal and written communication skills.
- Ability to operate small office equipment, including copy machines or multi-line telephone systems.
- Ability to supervise employees.
- Ability to multi task.
- Ability to work long hours, split shifts, nights, weekends and holidays required.
