KEY ROLES & RESPONSIBILITIES
The Director of Campus Operations is the owner of campus operations at their 6-12 campus, and is responsible for managing the non-instructional operations tasks and projects at their school, including managing the Front Office team. The Director of Campus Operations is a member of the School Admin Team and will participate in school leadership meetings to both support school leadership goals and to bring operational expertise to the team. The Director of Campus Operations works on the School Admin calendar and reports to the School Director.
Manage Vision and Execution of Campus Operations
- Lead and manage Front Office teams
- Manage Front Office Managers (FOM) and their oversight of the Front Office Assistant's (FOA) performance
- Develop FOMs through weekly coaching meetings, etc. (includes performance reviews)
- Own outcomes for the following through management of the FOM: Hospitality, Student Enrollment, Attendance, Finance and Cash Management, School Communication
Campus Operations
- Responsible for DSST's School Operations Report Card outcomes, including regular analysis of data and executing action plans to coordinate stakeholders and improve results
- Manage subs and last minute staff absences (does not include approving absences);
- Emergency Response and Crisis Management: act as Site Incident Commander, manage immediate emergency response, training, and planning
- Tech liaison: coordinate with tech manager and teachers/staff (ex. printers, laptop roll out, etc.)
- Oversee proactive calendar planning with Leadership and Front Office teams to ensure strong stakeholder engagement across campus
- Manage planning and execution of major events (ex. conferences, field trips, 6-12 staff events)
- Oversee execution of strong attendance tracking processes and best practices to ensure strong data quality in student information systems
- Manage a system to reserve and track availability of school spaces
- Scheduling: Support campus scheduling (may include walk-up scheduling for students, student information system entry, and creating alternative schedules)
- Enrollment: Own and lead the full enrollment life cycle for the campus
- Serve as a recruiter for new students; actively engage prospective families in an effort to draw more students to choose your school; be willing to take on additional tasks to support recruitment, as needed.
- Lead relevant operations trainings with staff teams, which includes but is not limited to testing protocol, building access, attendance information, requesting and getting a sub, and ERCM
- Serve as point-person for all parent/student questions and concerns related to operational concerns.
District Services Partnership and Coordination
- Own relationship with site Facility Manager and ensure that campus facility is clean, safe and well maintained - aligned to district and network quality assurance standards - by working in collaboration with the Facilities team.
- Build and maintain relationships with district facility area managers to support excellent service to the school
- Coordinate with cafeteria staff and on-site health services staff to ensure quality service for the campus community
- Ensure district service providers have updated schedules and are regularly informed of campus needs.
- Support School Director(s) in Shared Campus relationships and responsibilities as needed.
Testing/School Assessment Leadership
- Schedule, plan for, communicate, and execute internal and external testing, including but not limited to, iReady, STAR, P/SAT.
- Contribute to the execution of all assessments
- Manage campus completion of READ Act as well as district and network surveys
- Attend network and district training sessions for SAL-related responsibilities
Communications
- Communications Manager: primary liaison between campus, district, and Home Office on operational matters
- Oversee weekly/monthly communication home to families (HS and MS)
- Oversee regular operations-related communication to families, including systems that bolster campus wide outcomes/goals. These include but are not limited to: progress reports, interventions communication, campus events, fee collection, robo calls and attendance letters.
- Ensure campus communications, including web site are current and reflect relevant information for families and community members
- Contribute to Weekly Staff Memos with any Operations-related communication/announcements/updates
Network Operations Leadership
- Regularly participate in and share best practices at Operations team professional training and development
- Contribute to the planning and execution of training and development for front office staff
- Create training materials and actively contribute to a community of practice of operations staff
- Collaborate with the Home Office Operations team and other Directors of Campus Operations to continually elevate challenges and to proactively improve operational processes network-wide
Additional Duties
- Manage and oversee Substitute System for the school system
- Recruit and hire faculty
- Participate in network wide Professional Learning Programs
- And other duties as assigned
MINIMUM QUALIFICATIONS
- Bachelor's Degree from an accredited university required or enrollment in a DSST-approved Bachelor's program
- 3+ years of experience in schools or in school based operations required.
- Demonstrated ability to coach, manage and lead adults to successful outcomes
- An unwavering belief that all students can succeed in school, reach their most ambitious post-secondary goals, and lead exemplary lives
- Desire to personally professionally grow in their practice of becoming an anti-racist educator
- Self-awareness, a regular practice of reflection, and a desire to continuously improve
- Demonstrated ability to achieve results through strong planning, detail-orientation, managing through ambiguity, and investing others in action
- Experience managing across lines of difference with a variety of internal and external stakeholders, that could include staff, parents, students and broader members of the school community
- Demonstrated ability to implement systems thinking to continuously improve processes and/or address existing problems
IDEAL QUALIFICATIONS
- Proven commitment to and experience with serving students of color, students with disabilities, and/or multilingual students
- Spanish language proficiency is preferred but not required.
