This exciting opportunity calls for an individual with strong interpersonal skills, a commitment to service, creativity and self-drive, and a personal and professional self-confidence. Candidates should have strong communication skills, both written and spoken, and be comfortable speaking before groups of members, guests and/or employees of the Club. A general understanding of standard planning software and/or Club industry software is beneficial for the needed efficiency of the role.

Job Summary

Works closely with the Food & Beverage Director, Executive Chef, and Clubhouse Manager to properly plan Club events as well as promote and plan private events. Responsible for coordinating and preparing for proper execution of Club Meetings, Club Events, private events and off-site catering. Assists the Food & Beverage management team with the supervision of staff during events as necessary. Serves as the host's liaison and must convey a positive image to all guests and Club staff. Performs all duties with a focus on exceptional customer service for members and guests, as well as staff, with strong attention to detail, creativity when appropriate, and sensitivity for confidential information.

Key Responsibilities

• Respond to all inquiries in a timely manner to promote a welcoming and caring environment
• Conduct site tours for prospective private event hosts
• Be available during regular hours and at key Club events to engage with potential event hosts
• Responsible for planning & detailing weddings and other social events
• Monitor and evaluate market trends to bring fresh ideas and innovations to events
• Approach all encounters with members/hosts and employees in an attentive, friendly, courteous and service-oriented manner
• Develop a full working knowledge of the operations and policies of the Club and applicable departments to ensure proper event planning
• Ensure that all documentation is generated accurately and distributed internally and externally on a timely basis
• Attend daily/weekly/monthly meetings and any other functions appropriate to the roll
• Responsible for coordinating a variety of events and activities, and communicating with the Food & Beverage Director as necessary for support and execution
• Ensure all BEO and host requirements are properly relayed to the team executing the event
• Acts as a liaison at host arrival, and touches host multiple times during large events
• Works with the Executive Chef and Beverage Manager to procure specialty products, and ensure a host's visions is properly executed
• Follows up with the member/host within two days after the event to ensure satisfaction
• Ensure proper counts prior to the event for execution, and charges all events within two days after the event
• Handles all documents and member/host requests and complaints, and communicates any issues with the proper team members
• Communicates pricing with members/hosts, creates contracts and secures the proper signatures

Desired Skills & Attributes

• A degree in a related field and/or combination of related education and previous work experience is preferred
• Previous event planning experience strongly desired
• Ability to demonstrate creativity and speak to a knowledge of food and beverage
• Ability to communicate clearly through writing and speech, and to create professional documentation
• Must be proficient with computers and especially Microsoft Office products
• Knowledge of Club related software strongly desired
• Must be able to work independently and simultaneously manage multiple tasks; strong organization and presentation skill
