We're seeking a Patient Scheduling & Care Coordinator who will be the friendly, professional voice of our practice — greeting new inquiries, guiding patients through their wellness journey, and ensuring every interaction reflects our commitment to exceptional care and service.

Position Overview

As our Patient Scheduling & Care Coordinator, you will manage inbound scheduling requests from prospective and established patients. You'll provide compassionate support, answer basic questions about our programs, and coordinate with providers and staff to ensure smooth, timely scheduling. You will play a key role in creating a positive first impression and maintaining continuity of care across departments.

This role blends customer service, administrative excellence, and patient relationship management — ideal for someone who enjoys helping others and thrives in a dynamic, mission-driven healthcare environment.

Key Responsibilities

  • Answer inbound calls, emails, and web inquiries with professionalism and empathy
  • Schedule new patient consultations, follow-up appointments, and testing visits
  • Coordinate provider calendars and confirm appointments with accuracy
  • Provide information about functional and integrative medicine services
  • Communicate with clinical and front-office staff to ensure seamless handoffs
  • Manage patient reminders, confirmations, and rescheduling requests
  • Track appointment outcomes and assist with patient follow-up outreach
  • Maintain confidentiality and HIPAA compliance at all times
  • Support patient care continuity by documenting all interactions in the EMR system
  • Contribute to an upbeat, collaborative, service-first office culture

Ideal Candidate Qualities

  • A natural communicator with a calm, friendly phone presence
  • Passionate about helping people and creating positive experiences
  • Comfortable learning about functional, integrative, and preventive medicine
  • Strong attention to detail with excellent organizational skills
  • Self-motivated, reliable, and adaptable to changing priorities
  • Previous experience in a healthcare or wellness scheduling role preferred
  • Experience with EMR systems and multi-line phone systems a plus

Preferred Experience

  • 2+ years in a medical office, patient scheduling, or customer service role
  • Familiarity with functional, holistic, or concierge-style medicine (preferred)
  • Proficiency with EMR software (eClinicalWorks, Charm, Cerbo, etc.)
  • Bilingual (English/Spanish) is a plus

Compensation & Benefits

  • Competitive hourly rate: $18–$24/hour, commensurate with experience
