Sr. Event Planner
will consistently deliver exceptional service to our clients through insight, creative leadership, and project management. This position is an integral part of our
Corporate Events
team and will be responsible for managing, supporting and/or executing various events from initial concepts through execution and final reconciliation.
What You'll Do
Client Management
- Act as the client's point of contact during the planning and execution of live events, either as project lead or as an integral part of the planning team
- Build and maintain effective client relationships, anticipating requirements, understanding client needs and ensuring that requests are addressed in a timely manner
- Ensure clear communication with the client around all project deliverables including roles and responsibilities, agreed scope and budget, timelines and program status
- Work in partnership with clients in an advisory capacity, consulting on industry best practices and recommending creative, effective and appropriate solutions
Project Management
- Manage, prioritize and oversee events from creative concept through initial briefing to reconciliation including but not limited to initial budget creation, timeline management, planning, onsite delivery and post event reporting
- Involvement in or oversight of all elements of the planning process including but not limited to venue and supplier sourcing and management, rooming blocks, F&B, AV and build, registration and event apps, staffing, F&B, security, transportation, signage and branding, SWAG sourcing, etc.
- Create and maintain complex project schedules, internal and external project documentation including project and ops plans, internal master decks, client WIP decks, meeting agendas and meeting minutes etc.
- Actively contribute to or lead internal project meetings or client meetings
- Sourcing and management of all suppliers including negotiation of contracts
- Manage and ensure SLA's (Service Level Agreements) are monitored and achieved throughout the event production process
- Involvement in pitch development, research, writing and presentation as required
Team Management
- Lead or participate in regular internal team and project meetings, managing communications between team members to ensure clarity and that all deliverables and timelines are met
- Work with team to ensure adherence to client requirements and expectations
- Coach and oversee junior team members and freelancers on execution of job requirements
- Provide support for other team members and peers as required
- Field questions and offer advice to team members to assist with creative problem solving
Budget Management
- Build competitive, accurate and detailed program budgets
- Manage budget revenue throughout the planning process
- Responsible for accurate budget reporting to clients and timely reconciliation of events
- Maximize and monitor opportunities for increasing value adds, savings, and cost efficiencies, by forming strong partnerships with trusted suppliers
Creative Management
- Participate in creative brainstorms to generate ideas for clients
- Keep up to date on the industry, new suppliers and solutions and share learnings with team
- Attend industry events to gain exposure to new ideas
- Continually look for innovative solutions and production methods
- Contribute and recommend ideas for alternative solutions or latest technologies to add value to client deliverables or improve internal processes
What You'll Bring
- 6 – 8+ years' live and event experience
- Advanced project management skills including budget creation, management and reconciliation
- Experience with business meetings, product launches and experiential events
- Exceptional ability to establish relationships and maintain a positive rapport with clients, vendors and suppliers
- Excellent oral and written communication skills
- Advanced negotiating, risk management and contracting skills
- Good/advanced working knowledge of Microsoft Office
- Good/advanced working knowledge of audio-visual systems as it relates to live events
- Creative problem solver, resourceful, team player
- Calm and flexible approach to handling the pressure and stress of ever-changing demands
- Highly organized with excellent time management skills to handle multiple tasks and meet strict deadlines
- Ambitious and proactive
- Willing to travel when required
- Ability to work across time zones and with global event teams
- Advanced working knowledge of key APAC destinations including venues and suppliers
- Global event delivery experience a plus
- Demonstrated ability to collaborate with colleagues at all levels
- Familiarity with Salesforce and project collaboration tools (e.g. Slack)
- Experience working with technical vendors, fabricators, specialists and artists
- Bachelor's degree preferred
Administration & General
- Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
- Work intelligently and ensure that team management is aware of problems or issues which negatively affect productivity
- Ensure knowledge is shared within the team to enable them to work smarter and more efficiently
- Build excellent relationships with the team through positive communications, adding to a positive work environment
- Accurate adherence to the company's time tracking policies and systems
- Work on ad hoc requests as required
Pay Transparency
Salary Range: $97,500-$139,500
Overtime eligible: Exempt
Discretionary bonus eligible: Yes
Sales bonus eligible: No
Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
