Temporary Rankings and Submissions Assistant

Baker Botts L.L.P. is seeking a temporary Rankings and Submissions Assistant to join its Client Development team. This is a temporary, full time, non-exempt position responsible for providing administrative support and assistance to the Rankings and Submissions Department in the management of the Firm's directory and survey rankings submittal processes. This position can be resident in any of our Austin, Dallas, Houston, or Washington, D.C. offices.
Primary Responsibilities
- Work with the Rankings and Submissions team and Client Development teams to coordinate and facilitate the preparation of submission documents, submission of final documents to various directories, and internal filing of final submission materials for reference.
- Assist with internal and external outreach for submission related updates (description updates, profile updates, response rates, response deadlines, interview details, etc.).
- Assist with internal submission planning processes, including meeting scheduling, action item documentation and post meeting follow-up.
- Manage numerous outstanding submission deadlines and coordinate with the Rankings and Submission colleagues and Client Development to ensure deadlines are met.
- Facilitate scheduling of interviews between survey researchers and firm lawyers; compile necessary interview prep materials and coordinate prep calls as appropriate.
- Manage the survey calendar for submission due dates and requirements, as well as ranking announcements / guide launches.
- Track the Firm's directory rankings and other accolades, including the maintenance of the Firm's rankings content management database system, submission portal log and various submission trackers.
- Assist with ranking analysis used by the Communications team for Firm press releases.
- Assist with submission conversions and repurposing of submissions as necessary.
- Other miscellaneous projects as assigned.
Qualifications
- Bachelor's degree required.
- 1-3 years of professional administration experience, preferably with an AmLaw Top 250 law firm or in professional services.
- Candidate must be comfortable interacting with Firm lawyers, other professionals and staff within the Firm and possess diplomacy, enthusiasm, perseverance and a sense of humor.
- Candidate must be able to thrive in a fast-paced environment with a high-level of organizational and prioritization skills. Strong skills in written and verbal communication and the ability to manage deadlines, shifting priorities, and attention to detail are required to be successful in this role.
- Candidate should possess strong skills in MS Office; experience with InterAction/CRM, SmartSheet, Adobe Acrobat, Foundation, and iManage a plus.
- Occasional overtime required.
Extent of Contact (Within and outside the Firm)
This position requires contact with individuals within the firm as follows:
- a high degree of contact within the Client Relations department.
- a moderate to high degree of interaction with firm lawyers.
- a moderate degree of contact with external Legal Publication Organizations.
Physical Demands
- Must be able to work at a computer and telephone for extensive periods of time.
- Must be able to routinely lift and carry files and other items up to 10 pounds; and
- Must be able to function in a standard office environment.
- Limited travel; position may require travel to Baker Botts offices a few times a year.
Working Condition and Environment
- Overtime will be required on occasion.
- Work is normally performed in a typical office environment, which includes the ability to visit virtually face-to-face with colleagues.
- Position is full-time and requires a five-day work week and standard hours as outlined in the Firm policy manual.
- This role is fully remote. You will be required to come to the office when there is a business or client need.
The salary range for this position if filled in Washington, DC is $ $47.40 per hour. The actual compensation will be based on a combination of factors.
